Managing Team Settings

Learn how to open a team's own settings and manage its name, teammates, learners, and delivery methods, and see exactly which roles can do it.

Platform access level: Org Admins and Managers. An Org Admin can open Team settings for any team in the organization, and a Manager can open it for a team they belong to.

Use Team settings to manage a team’s details, activity, teammates, learners, delivery methods, and channels.

Org Admins can manage any team. Managers can manage teams they belong to.

1. Knowing who can manage Team settings

Org Admins manage organization-wide settings from Organization settings. Managers handle the day-to-day setup of their teams from Team settings.

See Managing Users and Roles for role permissions.

Important: Only Org Admins can create or delete teams. Managers can manage teams they already belong to.

2. Opening Team settings

Select the team and organization name at the top of the sidebar, then select Team settings.

the team and organization menu open from the top of the sidebar, listing the organization's teams, Add team, Course catalog, Organization settings, and Team settings (circled)

Select Teams to see the teams you can manage. The list shows each team’s name, description, and teammate and learner counts.

the Teams page with Teams selected at the top of the full Team settings menu (Teams, Team details, Activity, Teammates, Learners, Delivery methods, Channels) and Exit above it, Create new top right, Search, Filter, and the Name, Description, Type, # of teammates, and # of learners columns over three team rows including the Default team

Select Manage from a team’s row menu to switch to that team. Select Edit to rename it without leaving the list.

Org Admins can also create and delete teams. Managers can manage and edit teams they belong to.

Select Exit to return to your content.

Note: If Team settings is unavailable, contact your Arist Customer Success contact to enable Teams.

3. Editing the team name and description

Select Team details to update the team’s name and description. The form has one required name field and an optional description.

Team settings > Team details with Team details selected in the sidebar, the required Team name field, the optional Description field, and the Save button top right

The Team name can be up to 100 characters and must be unique within your organization. The description appears on the Teams list.

Select Save when you're done.

Tip: Add a short description that explains who the team is for. This makes the team easier to identify from the Teams list.

4. Reviewing team activity

Select Activity to see who made changes to the team and when, including teammates joining or leaving.

Team settings > Activity with Activity selected in the menu, the Filter button circled, and entries grouped under Today and Earlier, such as learners added to and removed from the team, each with who made the change and when

Use Date to choose a date range and Event to focus on one kind of change. Entries are grouped under Today, Yesterday, This week, and Earlier.

Org Admins can review any team’s activity. Managers can review activity for teams they belong to.

Note: The feed shows recorded actions. Earlier changes may not appear.

5. Managing teammates

Select Teammates to add, edit, or remove teammates. The list shows each person’s name, email, and organization-wide role.

Team settings > Teammates with the search box, the Name, Email, and Roles columns, two teammate rows carrying Manager and Org admin badges with their row menus, and the Add teammates button top right

Org Admins can manage teammates on any team. Managers can manage teammates on teams they belong to, except the Default team.

Select a teammate’s row menu to edit or remove them. Removing someone from a team does not deactivate their Arist account.

See Managing Users and Roles for organization-wide roles and access.

Adding a teammate

Select Add teammates and enter the person’s email address. Arist checks whether they already have an account before showing the remaining fields.

the top of the Add teammate panel, with the Add teammate step chip and card header above the required Email field and its sub-label, and that field circled
  • New to Arist: Enter their name, choose their roles, and select Invite user.

  • Existing account: Confirm their details and select Add to team. Their existing roles remain unchanged.

Roles apply across the organization, not to one team. See Managing Users and Roles for role permissions and editing restrictions.

Note: Managers, Writers, Distributors, and Analysts must belong to at least one team. Add them to another team before removing them from their only team.

6. Managing the team’s learners

Select Learners to see who belongs to the team. The list shows each learner’s delivery platforms and membership:

  • Manual: Someone added the learner directly.

  • Rule-based: The learner matches the team’s rules.

Team settings > Learners with the Name, Platforms, and Membership columns, the first learner row carrying a Manual badge and the rest Rule-based, plus Search and the Filter control

New learners who match the rules join automatically. Manually added learners remain on the team even if they do not match its rules.

Select View from a learner’s row menu to open their profile.

Filtering by membership

the Membership filter chip added to the Learners page with its value list open on Manual and Rule-based

Select Filter, choose Membership, then choose Manual or Rule-based.

You can use Search and Membership together. Select Clear all to return to the full list.

The Default team includes every learner through its rules, so filtering it to Manual returns no results.

Restoring removed learners

On teams other than the Default team, select Excluded only to see removed learners, when they were removed, and who removed them.

Team settings > Learners with the Excluded only view selected, reading 1 excluded learner, over the Name, Platforms, Excluded on, and Excluded by columns
  1. Select the learners you want to restore.

  2. Select Add back to team.

  3. Review and confirm the change.

the Add learner back to team dialog explaining the learner returns as a hand-added member who stays even if the team's rules stop matching them, with Cancel and Add back to team, over the Excluded only list with one learner selected

Important: Restored learners have Manual membership and remain on the team even if they do not match its rules.

Switching between All and Excluded only clears your selection.

Editing multiple learners

Select learners to open the action bar. It shows the number selected and lets you select every matching learner across all pages.

Team settings > Learners with two rows checkbox-selected and the bottom bar reading 2 learners selected with the option to select all 30 across all pages, offering Bulk edit, Add to cohort, and Create cohort (circled), and the ✕

You can:

  • Bulk edit their metadata.

  • Add to cohort to add them to an existing cohort.

  • Create cohort to create a cohort containing the selection.

Your selection remains active as you move between pages and clears when you change the search, filters, or sort order.

See Viewing and Managing Learners for bulk editing and Managing Cohorts for creating and managing cohorts.

Adding learners

Select Add learners, then choose:

  • Enter manually to add one learner.

  • Upload CSV to import several learners.

The learners are added to the current team. You can also select a cohort under Also add to cohort.

When adding one learner, enter their Account email first. If no existing record matches, enter their name and delivery address.

the Details step of the Add learners flow for an address that matched nobody, showing Account email filled in above First name, Last name, Address type set to SMS, and the Address field with its country picker, over Cancel and Add learner

For someone without an account email, select Continue without an email. This option is unavailable when your organization requires account emails.

Note: Address type defaults to SMS. Change it to Email before entering an email address.

Adding an existing person

When the account email matches an existing person, Arist shows their record instead of creating another one.

If they are an organization member but not yet a learner, select Add to team to make them a learner and add them to the team.

the Details step reading back a matched Name and Account email, with the note that the person is a member of your organization but not yet a learner and that adding them makes them one, above an enabled Add to team button

For other matches:

  • If they are already a learner elsewhere in the organization, select Add to team.

  • If they already belong to this team, Arist tells you so and you can’t add them again.

  • If they belong to the team but not the selected cohort, select Add to cohort.

Importing learners from a file

Select Add learners, choose Upload CSV, then:

  1. Upload a CSV or Excel file of up to 50 MB.

  2. Preview the rows and identify whether the first row contains column names.

  3. Map each column to a learner field.

  4. Review the results and select Finish.

A warning means the row was imported but needs review. An error means the row was not imported.

the Import step reporting one record imported and one warning, with the warning explaining that a person was added from outside your teams and a per-row detail card, above the Download warnings button

Download the affected rows, correct them, and upload the file again.

See Managing Organization Settings for your organization’s required learner fields.

Setting learner rules

Select Rules to control which learners join the team automatically. The Default team includes every learner and does not use rules.

If your organization has matching learner fields, you can start from a template under Add from a template, such as By department, By location, New hires, or By manager. Each rule has a Field, Condition, and Value.

the Edit team rules panel with Add from a template offering By department, By location, New hires, and By manager, a Language is English rule, the Match all / Match any control (circled) beside Add rule (AND), Add OR condition, and the match count reading 26 learners match with no change from the current 30

Choose how the rules in each block work:

  • Match all: A learner must meet every rule in the block.

  • Match any: A learner must meet at least one rule in the block.

Use Add rule (AND), or Add rule (OR) under Match any, to add another rule to the block. Select Add OR condition to create another block. A learner qualifies when they match at least one block.

The panel shows how many learners match and how saving would change the team. Complete any unfinished rules to update the count. If the count does not return, select Try again.

the Edit team rules panel after the rule is changed to Language is 日本語 (Japanese), with the line under Add OR condition reading 0 learners match, when saved: −25 removed from the current 30, above Cancel and Save

Select Save to apply the rules.

See Managing Cohorts for rule templates, matching multiple values, and using the same rule builder for dynamic cohorts.

Note: Rules are applied in the background, so the learner list may take a moment to update.

7. Choosing the team's delivery methods

Select Delivery methods to choose how the team can reach learners. Each available method includes its current configuration and a team-level toggle.

Team settings > Delivery methods, each method showing its status line and its toggle for this team

Only methods enabled for the organization appear here. Use the toggles to turn SMS, WhatsApp, Email, Microsoft Teams, Slack, or Arist Messenger on or off for the team.

Org Admins manage sender details and other organization-wide options from the organization’s Delivery methods page.

See Using Delivery Methods for more information.

8. Turning the team's channels on and off

Select Channels to choose which channels the team can use. The list shows each channel’s assigned number, how many of the team’s schedules use it, and whether it is enabled.

the team's Channels page with the Name, Assigned number, In use, and Enabled columns, a toggle on each row, and the note that a channel cannot be disabled while the team has schedules sending on it

Use the toggles to turn channels on or off.

A channel cannot be disabled while the team has schedules using it. Complete or trash those schedules first.

Org Admins manage channel details in Organization settings. See Managing Channels.
