In Array, anyone with access to your system is referred to as a User. Each user can have different levels of access based on their assigned role and the Team they belong to.
Users can access Array through the web platform or the mobile apps (available for free on iOS and Android). Whether they’re collecting data in the field or managing forms from the office, you can assign roles that suit their needs.

➕ Adding a New User
Adding a user to your account is quick and easy.
Step-by-step:
Click your profile icon in the top-right corner.
Select "Users & Teams" from the dropdown.
Ensure the Users tab is selected at the top.
Click the Add (+) button in the top-right corner.
A popup will then appear allowing you to invite users to your account.
The invitation process:
Step 1: Enter the email address(es) of the user(s) you wish to invite (use commas to separate multiple emails).
Step 2: Add a short message (optional). This will appear in the invitation email.
Step 3: Assign the user(s) to a Team (optional). This will grant them the correct permissions upon joining.
Step 4: Click “Add” to send the invite.
User Roles & Permissions
User access is controlled by assigning a role, which defines what they can view, edit, and manage.
Role | Description |
Account Admin | Full permissions across all areas. Can manage users, forms, reports, submissions, and themes. |
Form Editor | Can create/edit forms, manage themes, and view/edit submissions and reports. |
Field Manager | Access to assigned folders with full visibility of submissions. Can view and edit data. |
Data Entry User | Can fill in and submit forms but cannot view or manage submissions. Ideal for field use. |
Reports Access | Can view all reports and submission data, including location tracking. |
Own Reports Access | Can only view reports and submissions they personally submitted. |
Client Reports | View-only access to submissions and reports related to assigned forms. |
Operator | Can submit forms and view/edit their own submissions only. |
Support User | Limited to using the in-app support chat. |

Importing & Exporting Users
Import Users in Bulk:
In the Users & Teams page, click the Upload icon at the top.
In the pop-up window:
Click “Download this template file” to get an XLSX file of the correct format.
Fill in user information (email, role, etc.) in the spreadsheet.
Use “Choose file” to upload the completed XLSX file.
Enable “Perform Full Sync” to automatically add/remove users based on the file contents.
Assign new users to a Team before confirming.
Export User List:
Click the Export icon at the top of the Users page to download a full list of your current users.
Removing a User
To delete a user from your account:
Navigate to Users & Teams > Users.
Hover over the user’s profile picture and check the box that appears.
Click the Delete button at the bottom of the page.
What happens when you delete a user:
They lose access to your account but are not deleted from the Array platform if they belong to other accounts.
Any publicly shared forms via that user will no longer be accessible.
To keep a form live, re-share it via a different active user.
