The Email Copy feature in Array allows you to automatically send form submissions via email, either to internal team members or external recipients. Along with formatted versions of the submitted data, you can also attach any photos or documents included in the submission.
This is ideal for workflows that involve:
Field issue reporting
Inspection or audit checklists
Submissions that require visual confirmation
Keeping records of signed documents

What is Email Copy?

Choose recipients manually or using logic
Include submission data in various formats
Attach media files (images/documents)

Attaching Form Submission Files
When setting up your email copy, you can choose to attach the full submission in several formats:
Text Injected – Form answers appear inside the body of the email
PDF – A printable version of the submitted form
CSV / XLS / XLSX – Raw data file of the submission
These attachments are helpful for quick viewing, reporting, or exporting data outside of Array.
📌 You can also include a link to the Reports section of your Array account in the email, allowing internal users to access full submission history.
Including Photos and Documents in Emails
If users upload photos or attach documents during their submission, these can also be included in your email copy — but you must enable this option manually.
How to Enable Media Attachments:
Go to Forms > [Your Form] > Settings > Email Copy
Select your email copy or create a new one.
Under "Attach Submission Format", choose the formats you'd like to include (PDF, XLSX, etc.)
Below those options, tick:
Include Images
Include Documents
Example Screenshot: Email Copy Settings
(Insert screenshot of checkboxes for “Include Images” and “Include Documents”)
Once selected, any images or files submitted through that form will be automatically attached to the outgoing email.
Note: If you only attach the form as a PDF (or another file type) and don’t tick the image/document options, media files will not be included.
Tips for Media Attachments
Use clear naming in form fields (e.g. “Upload Site Photo” or “Attach Signed Form”) to help identify files in the email.
Keep file sizes reasonable — some email providers have limits on attachment size.
For ongoing issues, include a link to submission reports for deeper investigation.
