Instead of manually building post-auction campaigns every time, you can configure flows once and let the system identify the right recipients automatically. This helps you follow up with bidders, winners, sellers, and subscribers while reducing manual work and keeping customers engaged after each auction.
When to use this
You want to automate post-auction emails after results are uploaded
You want to follow up with winners, underbidders, sellers, or inactive bidders
You want to reduce manual campaign setup after every auction
You want more consistent customer communication after each sale
What you’ll achieve
Send relevant emails automatically after auction results are uploaded
Prevent customers from receiving too many automated emails
Prioritize which automation should send when a customer qualifies for more than one flow
Keep post-auction communication consistent without rebuilding campaigns manually
Steps
Step 1: Open Automatic Flows
Go to: Campaigns → Automatic Flows
Automatic Flows must be enabled for your account. If you do not see this option, contact support so it can be activated.
Step 2: Review the page
When you open Automatic Flows, you will see:
Global Settings
Automation Hierarchy
Available automation flows organized by category
The Active Automations counter, for example 3 / 10 Active Automations
The counter shows how many automations are currently active compared with your account limit.
Step 3: Configure Global Settings
Select/Input:
Setting | Value | Why it matters |
Send Emails | 1–10 days, Next Business Day, Next Saturday, or Next Sunday | Controls when emails are sent after results are uploaded |
At time | HH:MM | Controls the time of day the emails go out |
Disable if results uploaded after | 1–60 days | Prevents old auction results from triggering emails too late |
Cooldown Period | No Cooldown to 3 Months | Prevents the same contact from receiving too many automated emails |
Changes to Global Settings are saved automatically.
Step 4: Set the Automation Hierarchy
Use the Automation Hierarchy to decide which flow takes priority.
If a contact qualifies for more than one automation, the system uses the hierarchy to decide which automation should send. This helps prevent overlapping or excessive communication.
Select/Input:
Move higher-priority flows toward the top of the hierarchy
Place important flows like Congratulate First-Time Winners above lower-priority flows
The hierarchy order is saved automatically.
Step 5: Enable a flow
Select/Input:
Choose the flow card you want to activate
Toggle the switch to on
After the flow is enabled, the configuration wizard opens.
Flows marked with Popular are commonly used automations and can be a good starting point.
Step 6: Complete Email Setup
Select/Input:
Field | Requirement |
Email Template | Required |
Sender Email | Select from configured sender profiles |
Sender Name | The display name recipients will see |
Subject Line | Required |
Preview Text | Required |
Merge tags are supported in the Subject Line, for example {{firstName}}.
You must complete the required fields before continuing.
Step 7: Configure Filters & Rules
Select/Input:
The available filters depend on the automation type.
Filter | Used for |
Minimum Total Spent | High spender automations |
Minimum Number of Bids | Multi-winner feedback automations |
Inactivity Period | Inactive or returning bidder automations |
Minimum Unsold Items | Unsold item retargeting |
Minimum Sold Price | Post-auction highlights |
Successful Seller Review | Seller review requests |
Use Advanced Settings if you need to override the global cooldown for a specific automation or add a Suppression Segment.
Step 8: Preview and test
Click: Show Preview
Use this to review the selected email template before activating the flow.
Click: Send Test Email
Use this to send a test email to your configured test addresses.
Click: Confirm
The flow becomes active after you confirm. If required fields are missing, Confirm remains disabled.
