Prepare your files

Download your auction items file from your auction management software.

Images

There are two ways to upload images: by including the image URLs in the Items file, or by uploading JPGs.

You can use the same images that you use on the rest of your platforms or on your website. If you're choosing to upload JPGs, the image name should be the lot number (you can upload several versions for each lot as 121_1, 121_2 or 121.1, 121.2, etc.) If you are unable to provide images and/or item links, we will extract them from your website.

Upload your file to Artbrain

To create a new auction, navigate to the "Auctions" page of your Artbrain Account and click on the blue "Create New +" button.

Click the Plus icon and select the 'Auction Items' upload type from the dropdown:

Select the items file you wish to upload, and follow the prompts in the popup window. Unless you see a red error, continue clicking Next.

If you get an error on column matching, it means header(s) in your file have changed, and you should match the new header to the expected field.

Correct additional errors in cells marked in red, by following the prompts that appear on the screen. If you need any help, reach out to our support team via chat or email.

Save the file, and press Next.

Enter auction details, including the ending date of the auction, catalog links, and optional description. The auction departments will be automatically populated with the departments from the items in your file.

For multi-day auctions, you may add multiple catalog links, by pasting them one at a time and pressing enter.

Review the summary and press Create Auction.

Upload

Once you finish creating the auction, the system will get to work processing, uploading, and analyzing your items and customers. We will fetch images and links if needed, extract tags from your items, and generate match scores for your items and customers.

You can keep track of the status of the upload on the Auctions page. Depending on the size of the auction, it could take up to a few hours to generate all your matches. If you're waiting for longer than this, please reach out to our support chat.
