Batch-importing works from an Excel or Google Sheet can save you time 🎉. Whether you're uploading new work or batch-updating existing ones, importing via a CSV file is the most efficient method. Step 1: Access Import/Export
In the bottom-left corner of your screen, select your account > Import/Export.
Step 2: Navigate to Import Works
In the left-hand banner, click on Import Works.
Step 3: Get the Template
To view the template for importing works, click Get Template.
Things to Keep in Mind:
Optional Fields: You don’t need to fill in every column. Leave columns blank if certain information is unavailable.
Header Formatting: Ensure all spreadsheet headers are in lowercase and use underscores (e.g.,
first_name
,last_name
) as shown in the template.Multi-Entry Fields: Only the tags and roles fields allow multiple entries. Separate values with commas. Other fields like email and assigned lists only accept single entries.
File Format: The spreadsheet must be in CSV format.
Work Limit: Each CSV file can hold up to 2,000 works. For larger lists, split them into separate files.
Updating Existing Works: ARTERNAL uses the inventory number to identify works. If a work already exists, it will be updated instead of created as a duplicate.
Step 4: Upload Your File
Fill out the template, then return to ARTERNAL and select Upload Spreadsheet.
Step 5: Start the Import Process
In the Upload File window, add your completed spreadsheet. Your import will begin processing automatically.
