How to Create and Share Private and Online Viewing Rooms

Learn how to create and manage Private and Online Viewing Rooms, control information visibility, and share links with clients or the public.

With ARTERNAL’s Viewing Room feature, you can share curated works with clients through a digital experience. Clients can view the works virtually, and you control who has access and what information (e.g., prices, statuses) is displayed. Online Viewing Rooms are available for Lists, Exhibitions, and Fairs.


Online vs. Private Viewing Rooms: What’s the Difference?

Online Viewing Rooms:

  • An Online Viewing Room allows you to share a public link to showcase your works, enabling the general public to view and inquire about the artworks.

  • The link can be posted on your website, sent via email, or shared on social media.

Inquiry Process:

  1. Before entering the room, users will be asked to enter their email.

  2. Inside the room, users can click Inquire.

  3. Users fill in the inquiry details and click Submit.

Private Viewing Rooms:

  • A Private Viewing Room is for selected clients with whom you’ve built relationships. These rooms provide a more exclusive experience, and you share the link only with chosen clients.


Step 1: Select the List/Exhibition/Fair

  • In Inventory, go to Lists/Exhibitions/Fairs.

Step 2: Choose the List or Exhibition

  • Select the list/exhibition/fair for which you want to create a viewing room.

Step 3: Create the Viewing Room

  • In the top-right corner, click the OVR button, then select Private/Online Viewing Room.

Step 4: Customize Display Settings

  • Use the toggle buttons to control what information (e.g., prices, statuses) is displayed in the viewing room.

Step 5a: Set Expiry for the Link (Optional)

  • Turn on the Link Expires toggle to control how long the link is available.

  • Click Expires On, then set the desired expiry date and time.

Step 5b: Save the Expiry Date

  • Select your date and time, then click anywhere outside the calendar window to save the selection.

Step 6: Preview and Share the Viewing Room

  • Click Preview to see how your viewing room will appear.

  • To share the room, click Copy link. Anyone with the link will be able to view the works.

Online vs Private Viewing Rooms. What’s the difference?

Online Viewing Rooms:

An Online Viewing Room gives you the ability to share a link to your works for the general public to see as well as inquire about the artworks in that room. The link can be posted on your website, sent through emails, etc.

How users can inquire about artwork:

  1. Before entering the room, the user will be asked to enter their email.

  2. In the Online Viewing Room, select Inquire.

  3. Enter the inquiry details, then select Submit.

Private Viewing Rooms:

A Private Viewing Room is a digital experience that allows certain curated works to be seen by your select clientele. These are for the clients with whom you’ve built relationships. Clients can access these rooms by sending them the link to the room.

Note: Links to your viewing room don’t automatically change when you change the toggle settings. Make sure to copy and send a new link out every time you toggle!
