Managing Inventory Automatic Association for Sold Artworks

ARTERNAL allows for automatic contact association when an artwork is marked as sold, linking the buyer to the artwork’s record. Here’s how it works:

Step 1: Mark the Artwork as Sold

  • When you mark an artwork as SOLD in the inventory.

Step 2: Add the Buyer Contact

  • You will be prompted to enter the contact who purchased the work. Search for and select the contact, then click Confirm.

Step 3: View the Contact in Associations

  • The contact will automatically appear in the Associations section, labeled as the Owner of the artwork.

Step 4: Update Ownership for Future Sales

  • If the artwork is sold again, repeat steps 1-3. The previous buyer will be labeled as the Previous Owner, and the new buyer will become the current Owner.

Optional: Enabling or Disabling Automatic Association

  • If this feature is not working or you’d like to disable it, go to Settings > Inventory under the Organization section, and toggle the option on or off as needed.
