Guide for Printer, with User/Print Station/Workspace

There are 4 scenarios when it comes to assigning printers to the label models. The image below illustrates the 4 scenarios.

Assignment by User

The user that is assigned to the specified printer ID. When a specific user is selected, only said user will have access to the printer and label model for printing. By assigning a specific user, you are effectively restricting access to other users from printing to the defined printer. For instance, in the above image, only user jmontecalvo will be allowed to print the current label on the printer JC-Virtual.

Assignment by Workgroup

The assignment by workgroup works the same way as the assignment by user. When a specific workgroup is selected, only said users belonging to the workgroup will have access to the printer and label model for printing. By assigning a specific workgroup, you are effectively restricting access to other workgroups from printing to the defined printer. For instance, in the above image, only users inside the Assembly and Production workgroup will be allowed to print the current label on the printer MainStation-4x6. An owner from the workgroup may also be assigned to give said person access to the printer.

To access and define users belonging to a workgroup, navigate to the Company Tree (EP204061) screen in Acumatica. You will be able to create, edit, and delete workgroups in the company.

Assignment by Print Station

When it comes to assigning a print station, only the specified printers within the defined print station will be accessible.

When assigning by print station, there are additional steps that are needed for proper configuration.

Step 1: Make sure the Print Station is configured

  1. Navigate to the Print Station (AL204500) screen

  2. Check if a printer is assigned to the print station

Step 2: Assign User to Station

To use a print station, one or many users must be assigned to the station. To assign a user, navigate to the User Profile which can be found in the top right corner of your Acumatica Screen.

In the User Profile, under Personal Settings, there is a Print Station category that can be selected to assign a print station to the user.

Once the print station is assigned to the user, the user will only have access to the printers belonging to the chosen print station.

To assign a printer to a print station, navigate to the Label Printers screen. In the label printer record, there is a selector to choose the Print Station that is assigned to the printer.

With all the steps completed properly, the assignment of the Label model by Print Station can be done where you will see all the printers belonging to the particular station that the user is assigned to.

No Assignment

The last assignment method is not assigning any user, workgroup, or workstation to the, Label Model. By having no assignment, no restrictions are imposed allowing all users to print the label to the specified printer. It is good practice to have a general printer for all to access.

Recap

There are 4 scenarios when it comes to assigning printers to the label models. Assignment by User, or Workgroup will work the same way by restricting particular user(s) to use the specified printer. Assignment by Print Station will give user(s) access to printers belonging to a specific print station. Lastly, no assignment that will allow all users to print the label to the specified printer.
