What can a Viewer do in a Project?

Viewers can read project content and use chat, but they cannot upload, edit, or delete anything.

Full explanation
Viewers have the most limited permissions in a project. They can access and consume information but cannot make any changes. This role is ideal for stakeholders, customers, or team members who only need visibility. Viewer permissions apply only to the project where they are assigned.

Viewers can work across the following feature areas:

  1. Chat and Conversations
    Viewers can ask questions to AI, browse their chat history, delete their own conversations, download conversations if allowed, and share conversations publicly.

  2. Files and Documents
    Viewers can view and read files and folders. They can download files if the project settings allow this feature. They cannot upload, edit, move, or delete files.

  3. Semantic Map
    Viewers can browse Semantic Map terms. They cannot create, edit, delete, or bulk import terms.

  4. Email Management
    Viewers can read emails and preview their content. They cannot approve, deny, delete, or bulk manage emails. They also cannot manage sender lists.

  5. Public Interfaces
    Viewers can view public interfaces and their analytics. They cannot edit, create, update, enable, disable, or delete interfaces.

  6. Access Management
    Viewers cannot see user assignments or change project roles.

  7. Project level settings
    Viewer abilities are affected by any project level restrictions, such as disabled file downloads or conversation exports. If a feature is turned off, it is unavailable to all roles.

  • Use Viewer for users who only need to consume information and do not need editing rights.

  • Viewer is ideal for customers, leadership, partners, or team members outside the core working group.

  • If a user needs to upload or edit files later, you can upgrade them to Contributor.

  • A real estate firm gives Viewers access to finance staff who need to review documents but not edit them.

  • A government agency assigns Viewer access to public information officers who only need to read files and use chat.

  • A manufacturing organization uses Viewer for plant supervisors who review procedures and preview emails but do not update anything.
