How to Review and Update Project Emails

Prerequisites

  • You must have Manager or Admin role permissions for the project

  • The project must have Email to Project feature enabled

Step-by-step Instructions

1. Navigate to Email to Project

Click Email to Project in your project navigation menu to view all incoming emails awaiting review.

2. Preview the Email Content

To review the full content of an email before taking action, click Preview Email next to the email you want to examine. This opens a detailed view showing the sender, subject line, and complete message body.

3. Check Email Attachments

If the email includes attachments, click the Attachments section within the preview window to view or download any files included with the message.

4. Take Action on the Email

At the bottom of the preview window, you'll see three action buttons:

  • Approve: Adds the email content (and any attachments) to your project knowledge base

  • Deny: Rejects the email without adding it to the project

  • Delete: Permanently removes the email from the review queue

5. Approve the Email

Click Approve to accept the email and process its contents into your project. The email will be removed from the pending queue and its information will become searchable in your project.

Tips and Notes

  • Emails remain in the review queue until you take action—they won't be automatically added to your project

  • Once you approve an email, its content is processed and indexed like any other uploaded document

  • Denied or deleted emails cannot be recovered, so review carefully before taking action

  • Large attachments may take a few moments to process after approval
