Prerequisites

  • You must have Manager or Admin role permissions for the project

  • Your project must have access to the Scheduled Prompts feature

Step-by-step Instructions

1. Open the Actions Menu

Click Actions in your project navigation to access automation features.

2. Navigate to Scheduled Prompts

Click Scheduled Prompts from the Actions menu to view and manage all your automated tasks.

3. Create a New Scheduled Prompt

Click Add Prompt to begin configuring a new scheduled task.

4. Configure Your Scheduled Prompt

Fill in the following details in the prompt configuration form:

  • Prompt text: Enter the question or instruction you want the AI to execute (e.g., "Summarize all new documents added this week")

  • Frequency: Select how often the prompt should run (Daily, Weekly, or Yearly)

  • Time: Set the specific time of day when the prompt should execute

  • AI Model: Choose which AI model should process the prompt

5. Save the Scheduled Prompt

Click Create Prompt to save your configuration. The prompt will now run automatically according to your specified schedule.

6. Test Your Scheduled Prompt (Optional)

After creating the prompt, you can test it immediately to verify it works as expected. Click the Test button next to your newly created scheduled prompt to run it once manually.

7. Confirm Your Scheduled Task is Active

Once tested successfully, your scheduled task is ready and will execute automatically at the configured time and frequency.

Tips and Notes

  • Scheduled prompts run automatically in the background—you don't need to be logged in

  • Results are typically delivered via email to the project members

  • You can edit or delete scheduled prompts at any time from the Scheduled Prompts page

  • Consider testing your prompt first to ensure it produces the expected output before relying on the automated schedule

  • Time zones for scheduled execution are based on your account settings
