How to Manage the Email Inbox (Ingested, Hold, and Denied)

Prerequisites

  • You must be logged in to your AskTuring.ai account.

  • You must have a project with the "Email to Project" feature enabled.

  • You must have a Manager or Admin role to approve or deny incoming emails.

Step-by-step instructions

A. Navigate to the Email Inbox

  1. Open the Email to Project section

  • In your project sidebar or settings menu, locate and click on Email to Project.

  • This will open the moderation dashboard where all incoming emails are listed.

B. Moderate Email Status

  1. Review pending emails

  • In the email list, you will see messages categorized by their status (such as Ingested, Hold, or Denied).

  • For any email, you can use the action buttons to Approve, Deny, or Delete the message.

  • Approve: Moves the email and its content into your project for use in Project Chat.

  • Deny: Blocks the email from being processed but keeps a record in the Denied list.

  • Delete: Permanently removes the email record from the project.

C. Preview Emails and Attachments

  1. Open the email preview

  • Locate the email you wish to inspect.

  • Click the Actions menu (often represented by an icon next to the email entry) and select the preview option.

  • A window will open showing the body text of the email.

  1. View attachments

  • Within the email preview window, look for the attachments section.

  • You can see a list of all files received with that specific email.

  • This allows you to verify the content before deciding to approve or deny the message.

D. Delete Emails

  1. Remove unwanted emails

  • Click the Delete icon or option next to the email you want to remove.

  • A confirmation dialog will appear to prevent accidental deletion.

  • Click Delete again to confirm and permanently remove the email from your project inbox.

Tips or notes

  • Emails on Hold require manual approval before their data becomes available in your Project Chat or Semantic Map.

  • If an email is Denied, any attachments associated with it will not be indexed or searchable within the project.

  • Deleting an email is permanent; if you accidentally delete a message, the sender will need to resend it to the project email address.

  • Large attachments may take a few moments to appear in the preview window after the email is first received.
