How to create email templates to easily retrieve and send out in bulk

What are Email Templates?

Email Templates allow you to create saved templates that can be easily retrieved and sent out to your members in bulk. It will save you time for drafting emails with similar responses and addressing common issues with your members in a few seconds.

This feature can also be used to customize your creator invite templates, so you can optimize the content to ensure that it looks authentic and improves the invite response rate.

When should I use Email Templates?

We recommend using Email Templates for any case that requires similar responses to different people to save your time and effort in drafting emails. For example:

  • Creator Invite Template

  • Social Account Connection Issues (i.e. Instagram Insights Authentication)

  • Frequently asked questions from creators

  • Collaboration follow-ups


How do I create a new Email Template?

For generic (non-invite) templates, simply hover over your initials in the top right-hand corner and select Workspace Settings. Then, click Message Templates on the left side.

To create a new template, click "Create new template" and enter your title, subject line, and body text, then click Save Changes.

  • For invite templates, you won't be able to create them on your own. Instead, an invite template will be automatically created only after an application page has been saved and published. Once it's created, you will be able to see it on your project settings page. We do so to ensure that your invite template will include a valid landing page URL and that creators will be able to apply to your project.

Do Email Templates support Personalization?

Yes. You can easily personalize your template by applying our Personalization feature on the editor (aka the magic wand icon).

The data that will be pulled in by the Personalization fields you add to an email template will come from the member profile. When there is no data available for those Personalization fields, you will not be able to send the email out to the member unless you remove those fields and manually add the data to your email.

How do I retrieve a template when sending out an email?

Simply click the template icon on the email editor and select the template you want to use. Please note, that your invite templates will not appear when composing messages.

Can I delete an email template?

Yes, you can delete any templates that you created. However, it is not possible to delete an invite template created by our system. Once a project has been deleted, the corresponding invite template will also be removed.

Can I edit the content of an invite template for creators right before sending it out?

We do not currently support modifying the invite template for creators right before sending it out. If you would like to change the invite template, you will need to edit the Invite Email template.

When I'm ready to send my email template out, what button do I click if I want to send out a bulk email to a large group of influencers but I don't want them to see the other influencers in the email?

If you want to send out a bulk email to multiple influencers and you do not want them to see other influencers in the email, you will click the blue button that says "Send as X Emails." For example, if you have five influencers' email addresses in the "To" field, you enter your email template and are ready to send, you will then click the blue button that says "Send as 5 Emails." This will send the emails out separately rather than as one group email.
