❓Overview

Training spaces work as secondary spaces of your platform. They allow you to group users, learner groups, projects and publications (whether they are courses or programs) into separate spaces.

💡 Why use it?

This feature allows for subdivision of your platform and can be useful for you if you are part of a large organization that has projects with complex publication distribution (e.g. large organizations or networks of schools divided into several regions or large suppliers).

By creating a Training Area, you can assign contributors to specific roles (learners, designers, administrators or coaches) and thus limit their access and scope of action. Then simply add the appropriate projects, publications and/or groups of learners that are linked to them.

⏱️ When to use it?

Training Spaces offer great flexibility to organize your educational platform. Here are some tips to help you decide whether they are a great fit for your needs:

🚦 Some important reminders before creating a Training Space:

  • Training Spaces divide the platform into multiple parts:

    • Each Space will have its own users, groups and projects, without the possibility of sharing between spaces.

    • Users can be added to multiple spaces, but a learner can only belong to one space.

    • Groups and projects will be specific to each space, without the option of sharing between spaces.

⚠️ Exception: Publications created in one workspace can be shared with other spaces to facilitate the distribution of your training courses.

💡 Note: The creation of Training spaces is not always necessary and may involve additional complexity. Before creating a Space, carefully evaluate if it really meets your needs in terms of organization and content management.

  • Group creation can often solve many management issues, so consider using this feature first.

  • Please note that you can also choose co-designers within your projects (which avoids having to create separate spaces just for that purpose). To learn more, check out this article: 🤝 Working on a project alone or with co-designers.

2️⃣ Click on “Training Spaces”

3️⃣ Click “Create new space”

4️⃣ Add a banner to this space

5️⃣ Attach one or more coaches, learner groups, project(s) and/or program(s) to your space

Note: As soon as there is at least one training space on your platform, your projects will be automatically organized by training spaces in your Studio.

⁉️ FAQ:

Can I share a publication from one space to another?

Yes, absolutely—you can share a publication from one space to another. So, if you create a project and its publication in Space A, but only want to share the publication (without affecting the original project) with Space B, that is entirely possible.

To do this, go to the "Publication" page of your project, click the three small dots in the top right corner, and then select "Share the publication":

ℹ️ However, sharing a public publication with a registration link from one space to another is not possible. Therefore, two alternatives are available:

  1. Keep the original system:

    • All learners remain within the same space.

2. Use separate spaces without direct sharing:

  • Duplicate the project in the second space.

  • This creates a new project with a distinct URL.

  • ⚠️ Note: Content updates must be made in both projects.

  • 🔄 Possible solution: When a V2 of the project is available, duplicate it into the second space and archive/close V1.

Good to know: Publication sharing works perfectly for public training courses. It allows Space B to offer a publication from Space A to its own learners (already registered), directly via their catalog, without needing group associations.
