Accessing the Requests Page
There are two simple ways to get to your requests:
From Your Home Screen:
When you log in, you'll land on your home screen and see your activity feed.
Look for the filter option at the top of your feed.
Click on the filter and select "Requests."
Any visible request in your feed will now take you directly to the full Requests Page when you click on it.
Through the Schedules Tab:
Navigate to the "Schedules" tab in the main menu.
Within the Schedules section, you'll find and click on "Requests."
This will also bring you to the central Requests Page where all pending requests are listed.
Understanding Different Request Types
Once you're on the Requests Page, you'll see a list of various requests that team members have submitted. Let's look at some common examples:
1. Time Off Requests:
When you click on a "Time Off" request, you'll see important details provided by the employee:
Their reason for the time off.
The specific date(s) and time they are requesting off.
You have the ability to communicate directly with the employee if you need more information or have any questions. Look for a message option within the request.
After reviewing the details, you can then choose to either "Approve" the time off or "Deny" the request.
2. Shift Drop Requests:
Selecting a "Drop Shift" request will display all the essential information you need to make a decision:
The specific shift the employee wants to drop.
The reason provided by the employee for wanting to drop the shift.
Crucially, you'll see the total number of hours the employee (in this example, Hanna) will have scheduled if you approve the shift drop. This helps you manage workload distribution.
You can also see a list of other staff members who are currently scheduled for the same shift. This provides context for finding a replacement if needed.
Just like with time off requests, you can message the employee who requested the drop (e.g., Hanna) or even message other scheduled staff members if you need to coordinate coverage.
Handling Shift Drop Requests: Your Options
When it comes to approving a shift drop, Athletify gives you three flexible ways to manage it:
Assign a Replacement:
Choose this option to directly assign another available staff member to cover the dropped shift.
The system will likely show you a list of available staff.
For each potential replacement (like Jeff and Emma in the example), you'll see:
The total hours they would have if they take on this additional shift.
Important indicators, such as whether they have any conflicting shifts (as seen with Emma in the example).
Select the staff member you want to assign (e.g., Jeff) and then click "Approve and Replace." You also have the option to "Deny the Request" if you cannot find a suitable replacement or have other reasons.
Release the Assignment (Post as Open Shift):
Selecting this option will remove the original employee from the shift and automatically post it as an "Open Shift" on the schedule.
This allows other eligible staff members to pick up the shift if they are available.
Remove the Shift Entirely:
This option will completely delete the shift from the schedule.
Use this option carefully, as it will result in the shift no longer needing coverage.
