We've updated our request settings to give you more control and flexibility over how you manage your team's schedule. Now, you can customize how requests are handled for different programs and departments. Let's walk through how to set everything up!
Program-Specific Request Settings
Different programs may want different rules for shift changes. These settings allow you to tailor the approval process at the program level.
1. Finding Your Program Settings:
Start by going to the Organization tab.
Navigate to Programs.
Click on the specific program you want to manage.
In the top-right corner, select Program Settings.
Scroll down until you see Request Settings.
2. Configuring Drop Shift Requests:
You have a few ways to handle requests from staff members to drop a shift:
Always Require Approval: You will manually have to approve every single drop request.
Always Auto Approve: This allows staff to drop any shift any time.
Auto-Approve if Claimed: This is a real time-saver! If a staff member requests to drop a shift, they are still responsible for it until it's covered. However, as soon as a qualified teammate claims the shift, the system will automatically approve the request for you. No manual approval is needed!
Conditional Auto-Approval: This option gives you even more control. You can set a specific number of days in advance that a request must be made for it to be considered for auto-approval. For example, if you set it to 5 days, a request made 6 days in advance could be auto-approved if claimed. A request made 4 days in advance would require your manual approval, even if another staff member claims it, unless you toggle on to allow it to be approved if someone claims it.
3. Setting Up Claim Shift Requests:
For staff members wanting to pick up an open shift, your options are more straightforward:
Always Require Approval: You'll need to approve every request to claim a shift.
Always Auto-Approve: Any qualified staff member can claim an open shift, and it will be automatically added to their schedule.
Organization-Wide Request Settings
Some requests, like time off and availability, are managed at the broader organizational level.
1. Locating Organization Settings:
Go to your Organization tab and then go to Settings.
Scroll down to find the Time-off requests section.
2. Managing Time Off & Availability Requests:
You have several options for handling these requests:
Always Require Approval: Every time off and repeating time off (or availability) request will need your sign-off.
Always Auto-Approve: All time off requests are approved automatically.
Auto-Approve with Conditions: This provides a middle ground. You can enable auto-approvals only if certain conditions are met:
Only if request would not affect scheduled shifts: The system will check if the employee has any shifts during the requested time off. If not, it can be auto-approved.
Only if a request is made more than a [your number] of days in advance: Set a window of time that you're comfortable with for automatic approvals.
Once you've made your selections for any of these settings, just click Save, and you'll be all set!
