How to Submit and Manage Time Off Requests for a Period of Time

This guide will walk you through the process of submitting a time-off or unavailability request for a period of time.

This guide will walk you through the process of submitting a time-off or unavailability request. It will also show you what your manager sees when they approve it.

For Staff: Submitting Your Request

  1. Navigate to Time Off: From your main dashboard, click on the Time Off tab on the left-hand side of the screen.

  2. Start a New Request: Click the button to submit a new request.

  3. Enter the Details:

    • Title: Give your request a clear title, such as "Vacation" or "Unavailable."

    • Dates: Select the start date for your time off. If the request is for the entire day, make sure the "All Day" option is checked.

    • Repeating Events: If your request spans multiple consecutive days, set it to repeat daily until the final day of your requested time off. For example, for a vacation from July 15th to July 31st, you would set it to repeat daily until the 31st.

    • Reason: In the description or notes section, add a brief reason for your request, like "Family reunion."

  4. Submit: Click Send Request. Your request is now submitted and pending approval. You can view its status in your request section, which will update from "Submitted" to "Approved" once your manager takes action.


For Administrators: Approving a Request

  1. View Pending Requests: On your administrator's dashboard, s/he will find the pending request.

  2. Review the Details: They will click on the request and see the full details, including the dates and the reason for the time off.

  3. Approve the Request: If the request is acceptable, the admin will click the Approve button. The system will automatically update the schedule and your requests section.

How It Looks on the Schedule

Once approved, your time off will be clearly marked on the admin's master schedule. This ensures administrators know not to schedule you during your approved time off. If an administrator accidentally tries to schedule you, the system will flag a scheduling conflict, alerting the admin that you have approved time off for those dates.
