Hello! While we're working on a direct "Print Schedule" button that will be available in the Actions menu soon, this guide will show you two effective workarounds you can use today to print any schedule view.
Method 1: The Quick Screenshot
This is the fastest way to get a visual copy of your schedule, perfect for when you need a quick reference.
Navigate to the schedule view you want to print (Day, Week, or Month).
Adjust the filters to show the exact programs or positions you need.
Take a screenshot of your screen.
Windows: Use the Snipping Tool or press
Win
+Shift
+S
.Mac: Press
Cmd
+Shift
+4
.
Print the saved screenshot image.
Note: This method is fast, but the output is an image and cannot be edited. For a more professional and flexible option, we recommend Method 2.
Method 2: Export to CSV (Recommended)
This is our favorite method because it gives you a fully customizable spreadsheet. You can edit, add, or remove information to create the perfect printable schedule for your team's needs.
Step 1: Choose Your Data
First, navigate to the schedule and filter the view to show exactly what you want to export.
Select a Timeframe: Use the Day, Week, or Month view. For this example, we'll use the Week view.
Filter Your View: Use the filter options to select specific programs (e.g., "Fitness Classes") or positions.
Step 2: Export the Schedule Data
Once your view is set, you have two ways to export it.
Option A: Export from the Main Actions Menu This option exports everything you are currently viewing based on your filters.
Click the main Actions button in the top corner.
Select Export Week (or Day/Month, depending on your view).
Option B: Export from a Specific Program (Swimlane) This is a great shortcut if you only need the schedule for one specific program or location.
Find the program "swimlane" you want to export (e.g., the "Fitness Classes" row).
Click the three-dot menu (...) on the right side of that swimlane's title.
Select Export that week.
Step 3: Customize and Print Your File
Now that you have your CSV file, open it in a spreadsheet program like Microsoft Excel, Google Sheets, or Apple Numbers.
From here, you can completely tailor the schedule for printing:
Remove Unnecessary Columns: Your export may contain columns you don't need on a printed copy, like shift IDs or internal notes. Simply right-click the column letter and select Delete.
Add Columns for Manual Entry: This is perfect for creating sign-in sheets or logs. For example, you could add a new, blank column titled "Class Attendance" where instructors can write down the number of participants.
Format and Print: Once your sheet looks the way you want, use your spreadsheet program's print function. You can use features like "Set Print Area" to select only the cells you want to appear on the paper.
You're all set! By exporting to a CSV, you can create a clean, professional, and functional printed schedule for your staff.
