How to Drop, Claim, and Swap Shifts in Athletify
Athletify makes it easy for staff to manage their schedules through the Job Board. While staff can’t directly swap shifts with each other, they can drop a shift and allow others to claim it, which works like a trade when approved.
Step 1: Dropping a Shift
A staff member (for example, Cindy) selects the shift they want to give up.
Click Post to Job Board.
The system notifies both coworkers and the admin that a replacement is needed.
The shift stays on Cindy’s schedule until an admin approves the replacement.
Depending on your organization’s settings, some requests may be automatically approved.
Step 2: Viewing Available Shifts
Another staff member (for example, Shooter McGavin) can turn on the Job Board.
The Job Board displays their current shifts plus any available shifts they’re qualified for.
Example: Shooter is a lifeguard, so he only sees lifeguard shifts—not swim instructor shifts.
Step 3: Claiming a Shift
From the Job Board, Shooter can click on a shift posted by Cindy.
Select Request to Claim.
The system confirms the request and notifies the admin.
If approved, the shift is reassigned from Cindy to Shooter.
Step 4: Admin Approval
Admins receive a notification when a shift is posted or claimed.
The request screen shows:
Which staff member wants to drop.
Who has requested to claim the shift.
The admin can approve and assign the replacement, releasing the original staff member from responsibility.
Step 5: Swapping Shifts
If two staff members want to swap:
Each staff member posts their shift to the Job Board.
Each staff member then claims the other’s shift.
The admin reviews and approves both requests.
Once approved, the shifts are swapped and both staff schedules are updated.
