Setting Staff Availability and Time Off Requests

Master your new Availability feature! Learn how staff can set their own hours and request time off, and how admins can manage these requests with automated rules and a quick, easy-to-read view of their team’s availability.

Staff-Facing Features

  • Adding Availability: Staff members can set their working hours by navigating to the Availability button. From there, they can select Add availability. They can set a start date, choose if the schedule repeats, and then use the slider bar to specify available and unavailable time blocks. If they set an unavailable block, they'll be prompted to provide a reason.

  • Requesting Time Off: The process for requesting time off remains the same. Staff can select Add time off, input their start and end dates, add a note, and submit their request.

  • Viewing Their Schedule: Staff can view their personal schedule, including available and unavailable times, by choosing the calendar option.


Admin-Facing Features

  • Setting Availability and Time Off Rules: Admins can manage the approval process for staff availability and time off requests. Go to Organization > Settings. From there, you can choose to:

    • Always require approval or Always auto-approve requests.

    • Auto-approve based on conditions, such as requests that don't conflict with a scheduled shift or those submitted a certain number of days in advance.

  • Viewing Staff Availability: To see when staff members are unavailable, navigate to the Schedule and select the Staff tab. If a staff member has set unavailability, you can simply hover over their name to see the details.
