You’ve finished recording your patient interaction or dictating your encounter summary—now what? Your results are saved to the Encounters View, which displays all your interactions at a glance for easy management. Here’s what it looks like:
Each patient record is displayed on its own line with:
Title: Automatically generated based on the interaction and editable via the pencil icon. (Show in Green)
Start time: When the encounter started.
End time: When the encounter ended.
Duration: The active recording time, excluding any pauses.
Resume Recording: To resume the recording or start recording again, accessible using the play button icon. Shown in Red)
Archive or Delete: Archive your notes for later reference or delete using the bin icon. (Show in Purple)
It's very important to know the difference between the two options:
Archive:
Stores the chart for later retrieval.
You can Archive one by one, or you can set an automatic archive frequency (e.g., daily, weekly) by going to Settings > Security > Records Archive.
Delete:
Permanently removes the chart. Important: Deleted records cannot be retrieved as they are fully wiped from our servers.
It's good practice to delete records yourself on a regular basis for privacy and security reasons.
IMPORTANT: All patient records are only kept for a maximum of 30 days on our servers after which they are permanently deleted for security and privacy purposes. Please ensure you transfer your notes to your EMR on a regular basis.
Note: Duration reflects only the time the recording was active. For example, if a recording runs from 1:00 PM to 1:30 PM, but is paused from 1:10 PM to 1:20 PM, the duration is 20 minutes, not 30 minutes.
Tip: Some providers add patient initials or a birthday-name combo here. That way you can search later which can be useful if you're seeing a lot of patients.
You can search your charts anytime by typing into the search box. Other ways to find charts include clicking the Recent button to sort them by most or least recent, or using the Date Filter to select a date range from the calendar, as shown below:
Incomplete Recordings:
You may be wondering what happens if your recording gets cut off abruptly. Maybe your device shut down from low battery, the power went out, you lost internet connection, or something else entirely.
No need to worry! Autochart.ai captures and saves recordings every minute to ensure you don't lose your recording.
To view Incomplete Recordings, simply click on the Incomplete Tab near the top right side of the Encounters View or main page.
You can then easily Generate your Incomplete Note. If it is only half done, after generating, open your note and use the Resume feature talked about earlier to continue your dictation or dialogue. You also have the option to Delete your incomplete recording if you no longer require it.
Archived Recordings:
To view Archived Recordings, simply click on the Archive Tab near the top right side of the screen: You can also unarchive any charts to restore them to the main Encounters view.
The Encounters View helps you efficiently manage and organize patient records. Use archive for future access or delete for privacy, and remember to transfer notes to your EMR within 30 days to avoid losing data.
