What are Snippets:

Snippets in Autochart.ai act as a reference list that the AI uses when it hears specific words, phrases, or acronyms during recording. Based on your instructions, the AI automatically expands, shortens, or replaces what it hears, ensuring your documentation is accurate, consistent, and tailored to your practice.

How to Use Snippets:

  • Before the Consultation: Set up your Snippets as described in the detailed steps below by defining words, phrases, or acronyms the AI might hear and specifying how they should be expanded, shortened, or replaced.

  • During the Consultation: Speak naturally while the AI listens for your snippets and applies them automatically. If needed, note any adjustments to refine or add new snippets later for even greater accuracy.

How to Create and Edit Snippets:

  • Go to Settings > AI Settings > Snippets.

  • Click New Snippet to define a new term or acronym.

  • Enter the word or phrase Autochart.ai hears, and specify how it should be expanded, shortened, or replaced.

Important Distinction:

  • You don’t need to add shorthands that the AI already recognizes, such as "pt" for patient or "rx" for prescription, as these are part of its base knowledge and are used automatically when you select options like short brevity.

  • Snippets are more useful for terms or phrases unique to your practice, such as specific names, procedures, promotions, or other custom terminology the AI may not recognize by default.

Example 1:

Prescription medication names or ethnic and unique names can sometimes be misheard by the AI. If you notice a name or word being consistently written incorrectly, create a snippet to tell the AI: "When you hear X, replace it with Y." This ensures accuracy and consistency in your documentation.

  • When Autochart.ai hears: Awesome Pic

  • Expand, shorten, or replace with: Ozempic

Example 2:

For the Plan section of your note, you may not want to repeat a detailed set of instructions aloud in front of the patient, especially if they are standard or repetitive. Instead, you can simply dictate the plan's name (e.g., IT Band Syndrome Plan), and the AI will automatically populate the full, pre-defined content in the plan section for you.

  • When Autochart.ai hears: IT Band Syndrome Plan

  • Expand, shorten, or replace with:

    • Activity Modification: Advise reducing running and cycling; suggest low-impact activities like swimming or elliptical use.

    • Physical Therapy: Refer for guided stretching and strengthening, focusing on the iliotibial band, hip abductors, and core.

    • Pain Management: Recommend NSAIDs (e.g., ibuprofen) as needed and apply ice packs for 15–20 minutes, 2–3 times daily.

    • Stretching and Foam Rolling: Educate on self-care techniques, including IT band stretching and foam rolling.

    • Follow-Up: Schedule a follow-up in 4–6 weeks to assess progress.

Example 3:

If you’re running a promotion, you can use snippets to ensure the communication tab includes all the details without needing to repeat or type them out. Simply mention the promotion name, and the AI will automatically populate the full information for you.

  • When Autochart.ai hears: Viva Clinic VIP Membership

  • Expand, shorten, or replace with:

    • Viva Clinic VIP Membership costs $100 per month, for a duration of 6 months, and includes 3 sessions of x, y and z treatment.

Snippets in Autochart.ai streamline your workflow by expanding, shortening, or replacing content based on what the AI hears, allowing you to focus on patient care without repetitive typing or corrections. By setting up Snippets tailored to your practice, you ensure consistent, accurate documentation while saving time and improving communication efficiency.
