Live Clocking gives you a single board showing every staff member's current clock status in real time. Instead of opening time sheets one by one to work out who is on what, you get a card per person showing the job, the running time, and how that time compares to the job's estimate.
You can also clock a technician on or off straight from the board, which is useful when someone gets pulled onto a different job, or forgets to clock off before going home.
Some workshops call this desktop clocking, because it lets you clock time on a computer without using the mobile app. Live Clocking is the name of the screen in Auxo Workshop, and both refer to the same thing.
🧭 Getting to Live Clocking
Select Job Management in the side menu, then Time Sheets.
Click the Live Clocking button in the top right of the Time Sheets screen.
Who can see the board
Access is controlled by the Can View Live Time Clocking permission, set against a staff member's role.
It is usually given to workshop owners and admins, because the board shows every staff member's clock and lets you clock other people on and off.
A staff member whose role does not include the permission will not see the Live Clocking button, and the page will not open for them.
Anyone who can open the board sees the whole board. There is no cut-down version that shows a technician only their own card.
⚠️ Important: If a technician tells you they cannot see Live Clocking, check the Can View Live Time Clocking permission on their role. See 👥 Add or Edit Staff / Technicians for how to change what a role can do.
📝 Note: Live Clocking needs to be enabled for your workshop. If the option is not available to anyone, contact Auxo Support.
📊 Reading the Board
The top of the screen shows the current time and four summary counts:
Over estimate: technicians whose clocked time has passed the estimated time for the job they are on.
At risk: technicians who have reached 90% or more of the estimated time.
On track: technicians still inside the estimated time.
Clocked on: how many of your staff currently have a clock running, out of the total shown on the board.
📝 Note: The first three counts only include technicians clocked on to a job that has an estimated time. Non-job time and jobs without an estimate are not counted.
Who appears on the board
Everyone set up as a technician gets a card, whether they are clocked on or not.
Anyone else who has clocked time during the day also gets a card, even if they are not set up as a technician. That is why an admin or owner who clocked on to a job can appear alongside the techs.
💡 Tip: If someone should be on the board and is not, check that they are set up as a technician on their staff record. See 👥 Add or Edit Staff / Technicians.
How the cards are ordered
The most urgent cards come first, starting with anyone over their estimate, then anyone approaching it, then anyone on track, then anything without an estimate to measure against, and finally anyone who is not clocked on. Within each of those groups, cards are ordered by name.
What each card shows
Not clocked on: the staff member's name and the total time they have logged for the day.
Clocked on to a job: a running timer in hours and minutes, the estimated time, a progress bar, and the vehicle registration, vehicle description and job number. If they are clocked on to a specific service on the job, the service name appears as well.
Clocked on to a non-job: a running timer and the activity name, such as Break or Cleaning. Non-job time has no estimate, so there is no estimated time or status on the card.
🎨 What the Card Colours Mean
Green: the technician is inside the estimated time.
Amber, labelled Approaching Estimate: they have reached 90% or more of the estimated time.
Red, labelled Over Estimate: they have passed the estimated time.
Blue: the technician is on non-job time.
Plain, with an empty progress bar: there is no estimated time set, so there is nothing to measure the clocked time against.
💡 Tip: The summary counts at the top of the screen use the wording "at risk" for the same state the card labels Approaching Estimate.
📝 Note: The estimated time comes from the job, or from the specific service if the technician is clocked on to one. If your jobs are booked without estimated times, the cards will stay plain and the over estimate, at risk and on track counts will stay at zero.
▶️ Clocking a Technician On
Click the card of the staff member you want to clock on.
Choose Jobs to see the jobs allocated to them for the day, listed with the earliest pick-up time first.
Or search by job number or vehicle registration to find any other job that is booked, arrived, in progress or completed. Type at least two characters.
Select the job. Each job shows its estimated time beside the job number, along with the vehicle and the customer's name.
Or choose Non-Job and pick an activity: Admin, Break, Cleaning, Collections, General or Lunch.
Click Clock On.
Clocking on to a specific service
Most jobs have more than one service on them, such as a warrant check and a brake replacement on the same vehicle. You can clock a technician on to one of those services rather than the job as a whole.
Select the job in the Clock On screen. Its services appear underneath it.
Click the service the technician is working on. Each service shows its own estimated time, and that is the estimate the card measures against once they are clocked on.
Click Clock On.
💡 Tip: Pick the service wherever you can. If the clock is against the job as a whole, the time recorded is spread proportionally across every service on that job, so your labour cost per service is less accurate. See 🕒 Time Sheets for how that distribution works.
What happens when you clock a technician on to a job:
Any clock they already have running is closed off.
The job's status is set to In Progress.
The technician is allocated to the job if they were not already.
📝 Note: All non-jobs are predefined. You cannot add your own non-job activities.
⏹️ Clocking a Technician Off
Click the card of a technician who is clocked on to a job.
Choose a reason for clocking off. A reason is required, and it is saved as a note against the time sheet entry.
The reason you pick also decides what happens to the job:
Keep Job In Progress: closes the clock and leaves the job as it is.
Waiting For Parts: closes the clock and tags the job Waiting for Parts.
Approval Required: closes the clock and tags the job Waiting for Approval.
Job Completed (Ready For Invoice): closes the clock and sets the job status to Completed.
Once you have chosen a reason, you have two ways to finish:
Continue: clocks the technician off and takes you straight to picking their next job or activity, so their shift time carries on without a gap.
Done for the day: clocks the technician off and finishes there.
📝 Note: If the technician is on non-job time rather than a job, clicking their card takes you straight to picking their next job or activity. There is no reason to choose, because a break or a clean-up is not attached to a job.
🖥️ Full-Screen Display
Live Clocking is built to be left up on a large screen in the workshop. On a monitor or TV mounted where the team can see it, everyone can tell at a glance which jobs are running long, without anyone having to ask or go looking. Full Screen strips the screen back to just the clock, the counts and the cards, so the board reads clearly from across the workshop floor.
Click Full Screen to hide the menus and fill the window with the board.
Press Escape, or click Exit Full Screen, to go back.
💡 Tip: Full Screen hides the Auxo Workshop menus, but your browser's own toolbar stays visible. For a display mounted on the wall, use your browser's full-screen mode as well, usually the F11 key on Windows, so the board fills the whole screen.
🔄 How Often the Board Updates
The clock at the top of the screen updates every second.
The running timers and progress bars update every minute.
The board reloads on its own every five minutes, so it stays accurate on a display nobody is touching.
Clocking someone on or off updates the board straight away.
📌 Important Notes
Clocking without the mobile app: Live Clocking is how you clock time on a computer, so a workshop that does not use the mobile app can still capture technician time against jobs. Clocks started here and clocks started on a phone end up in the same place, and can be mixed freely.
Editing a time sheet while the clock is running: a time sheet can only be edited once the technician has clocked off. While their clock is still running the entry has no End Time, and saving a change to it will not go through. The End Time field highlights in red and the change is not saved. To correct a clock-on time, clock the technician off first, then open the entry from the Time Sheets list and edit it.
Clocks left running overnight: a clock always belongs to the day it started on. If a technician is left clocked on past midnight, clocking them off records the end time as 23:59 on the day the clock started, rather than the time you clocked them off. The timer on the card keeps counting up in the meantime, so it can show more time than the time sheet ends up recording.
One clock at a time: a staff member can only have one clock running. Starting a job or activity closes whatever they were on.
Where the time goes: clocking on and off from the board creates time sheet entries exactly like clocking from the mobile app, and those entries update the actual hours on the job.
