There are a few ways to set-up Ava, depending on the way your class is set up. Jump ahead to learn how to get captions for your situation:
For Classes Hosted on a Non-Zoom Conferencing Tool (Google Meet, WebEx, etc.)
For Classes Not Hosted on any kind of Conferencing Tool

For Classes Hosted on Zoom
Method 1: Dial-In + Broadcast Captions to Zoom
Expected Accuracy: ~85% (for 99% accuracy, add a Scribe!)
Use this method so you don't have to ask your classmates to join using Ava. However, you will need to contact the host of the Zoom meeting to activate Closed Captions.

โ ๏ธ NOTE: If you have a Basic Zoom account, due to high volume of usage, Zoom has decided to remove the dial-in feature for some Zoom accounts (updated August 2020). If this is the case, you won't be able to use this option ๐
Method 2: Group Conversation + Broadcast Captions to Zoom
Expected accuracy: ~95% (for 99% accuracy, add a Scribe!)
If you feel comfortable asking your classmates and teacher to join you on Ava, this will increase the accuracy of captions. BONUS: you can still broadcast captions to see them directly in Zoom! (optional)
1. Ask anyone who will be speaking to join you on Ava for a group conversation session. They can join from their desktop or phone. Don't worry- they don't need to create an account! For step-by-step instructions on how to start a group conversation session from Ava Web, click here.
2. Once you have started the captioning session on Ava Web, you can broadcast the captions to Zoom (optional) at any point during the conversation. To do that, you will need to get the API token from the Zoom meeting host.

3. In Ava Web, click on the โฐ menu button on the left-hand side to expand the side menu. Then click on "Broadcast to Zoom." You will see a pop-up appear asking for the API token. Go ahead and paste the token here (see below)
Watch as captions flow in to Zoom! Make sure to keep this window open through the duration of the entire class.
Recording the Zoom Session
Currently, when the host of the meeting records the Zoom session, the embedded captions in Zoom aren't retained. For instances in which you need to save the meeting, we recommend using a screen recording tool, such as Loom or CloudApp.

For Classes Hosted on a Non-Zoom Conferencing Tool (Google Meet, WebEx, etc.)
If you are not using Zoom for class, you can use Ava Web in your browser to view captions.
Method 1: Dial-In
Expected Accuracy: ~85% (for 99% accuracy, add a Scribe!)
This option works conference calls that have a dial-in feature (don't worry, most do!).

Method 2: Group Conversation
Expected accuracy: ~95% (for 99% accuracy, add a Scribe!)
If you feel comfortable asking your classmates and teacher to join you on Ava for a group conversation session, this will increase the accuracy of captions (compared to the dial-in option) and you will be able to see who is speaking!
They can join from their desktop or phone. Don't worry- they don't need to create an account!

Method 3: Using Sound from the Speakers
Expected accuracy: ~80-90% (for 99% accuracy, add a Scribe!)
If you don't want anyone to know that you are using Ava to caption (don't worry, we won't tell ๐คซ), this is option is for you. Note that accuracy is not as high as the other options.
1. Open Ava Web from your browser (only Google Chrome and Safari are supported)
2. Click on "๐ Start Captions now"
If you are using Ava Web for the first time, you'll see a popup asking for permission to your microphone. Click on Allow to let Ava "hear."
2. After granting access, make sure that the ๐ microphone icon is blue. This means that the microphone is active and is picking up sounds from the computer's built-in microphone (unless you have it set otherwise).
3. Adjust your windows so that you can see the captions from Ava Web and the conference call window at the same time, like this:
For Classes Not Hosted on any kind of Conferencing Tool
Expected accuracy: ~80-90% (for 99% accuracy, add a Scribe!)
If your class is hosted on a platform that's not a conference call (or doesn't have the ability to dial-in), or you are just looking to caption any sound coming from the computer, have Ava "listen" through your computer's microphone. For other ways to caption digital content, see here.
