Custom Gift Fields

Custom gift fields let you track information on gifts and pledges that AwardSpring does not capture by default, such as an appeal code, additional notes or a bank account designation.

They are created once in Settings, and from then on they appear on the activity form alongside the standard fields.

Note: field settings are shared. Anything you create here applies to every administrator account in your organization, not just yours.

Where to find them

Go to Settings > Donor Profiles, then select Custom Fields (Giving).


The Giving Records Settings page has two parts: the three field types you can add along the top, and your existing fields listed below.

Designation, Bank Account

Choose Single Select whenever the answer should come from a known list. It keeps your data consistent and makes the field usable for filtering and reporting later, which free text does not. Use Text only when the value really is different every time.

Creating a field

  1. Click the field type you want: Text Field, Date Field or Single Select.

  2. Give the field a name. This is the label people will see on the activity form, so name it the way your team talks about it.

  3. For a Single Select, enter the options that should appear in the dropdown.

  4. Choose where the field applies: Gifts, Pledges, or both.

  5. Save.

A field set to Gifts only will not appear when someone logs a pledge, and the reverse. If you are unsure, set it to both. It is easier to leave a field blank than to discover it is missing at the moment someone needs it.

Editing and reordering

Your existing fields are listed under Custom Fields.

Click Expand on any field to edit its name, its options, or where it applies.

Drag the handle at the left of a field to move it up or down. The order here is the order the fields appear on the activity form, so put the ones people fill in most often near the top.


Where the fields appear

Once created, a custom field shows on the logging form for the activity types you selected, alongside the standard fields such as Amount, Fund ID and Subject. After the activity is saved, the field appears on the Details tab when you expand it, and can be edited there like any other field.

Custom gift fields or custom profile fields

The same settings area holds Custom Fields (Profile), and the two are easy to mix up.

Custom Fields (Profile) describe the donor. They live on the donor's Profile tab, and there is one value per donor.

Custom Fields (Giving) describe a single gift or pledge. They live on the activity, and each gift carries its own value.

The purpose of these custom fields is to help you track information about the Gifts and Pledges you are tracking in AwardSpring.
