Task templates help you predefine recurring workflows and quickly and easily add them to your projects. They include tasks and task lists with all the details you’re already familiar with from tasks.
If you edit a template later, this won’t affect the tasks and projects where you’ve already used it.
Key benefits and use cases
When work is recurring, you shouldn’t have to start from scratch every time.
Standardize recurring workflows with predefined task lists and tasks
Get projects started faster by adding complete templates to projects
Bring task details along including familiar fields from tasks
Managing task templates
You can find an overview of all your templates under Einstellungen (the gear icon at the bottom left of the main menu) > Vorlagen.
Here, you can create new templates or use the action button to bearbeiten, duplizieren, or löschen existing ones.
Click a template to open its details and edit its content.
Changes take effect immediately. You don’t need to save the entire template separately.
Creating a new task template
Go to Einstellungen (the gear icon at the bottom left of the main menu) > Vorlagen.
In the Vorlagen für Aufgaben section at the bottom, click + Hinzufügen.
Enter a name and description, and choose an icon.
Click Speichern.
You’ll be taken to the template’s detail page. There, you can add task lists and tasks to the template.
Task configuration options
Define dependencies
Choose which tasks this task should depend on. The required tasks that need to be completed first are automatically displayed in the task details. In the timeline, they’re shown as arrow links.
Set relative start and end dates
Use Start nach Erstellen and Fälligkeit nach Erstellen to define how many days after the task is created its start date and due date should fall. This is based on when the template is added to a project.
Use a project role instead of a user
If you choose a project role instead of a user, the first user with that role will be assigned when the template is used in a project.
Creating a task template from an existing project
You can create a new template from the existing tasks and lists in a project. Follow these steps:
Open the Aufgaben tab in your project.
Click the action button at the top right, above the lists.
Select Als Vorlage speichern to save all lists as a template.
All task lists and their details will be saved as templates and can be reused in other projects. Start and end dates can also be included.
Saving individual lists as a template
Open the action button for a task list.
Select Neue Aufgabenvorlage to create a new template from that specific list.
Adding task templates to a project
Open the Aufgaben tab in a project.
Click the + Aufgabe button at the top left.
Select Aufgabenvorlagen importieren.
All lists and tasks will then be added to your project.
If your project already has lists with the same names, those lists will be reused and the tasks from the template will be added to them.
Best practices and tips
Plan with relative dates if schedules should always be based on the project start date
Use project roles if tasks should be automatically assigned to suitable team members when imported
Set dependencies so tasks are ready to start only after the preliminary work is complete
Keep an eye on your list names, because lists with the same name are reused during import
