In this article, you will learn how to create optical orders for glasses and contact lenses, how to generate invoices directly from an order, and how ordering works across Barti's supported suppliers — Vision Web, Fait, and manual (Other).

1. Navigate to Optical Orders

  • Click Optical Orders in the left navigation menu.

  • The order list displays all orders with filters for Patient name, Status, Order Type, Location, and Created Date.

2. Create a New Order

  • Click New Order in the top-right corner of the Optical Orders page.

  • In the Create an Order modal, use the Select a Patient field to search for and select a patient.

  • Select an Order Type: Glasses or Contact Lens.

  • Click Create New Order.

  • The order form opens for the selected order type.

3. Complete a Glasses Order

  • In the Ordering Service field, select your supplier: Vision Web (if enabled), or Other for manual/lab-direct ordering.

  • If using Vision Web: select a Lab from the dropdown. If using Other: enter the Lab name, Account, and optional Order # fields.

  • In the Frame Supplier field, select the frame source.

  • Complete the Prescription section — select a prior exam prescription or enter values manually.

  • Complete the Frame section with frame measurements and specifications.

  • Complete the Lens section with lens design, material, and add-on selections.

  • Fill in the Shipping section to set the ship-to address and shipping method.

  • Add any Instructions or Internal Notes as needed.

4. Complete a Contact Lens Order

  • The Supplier field defaults to Fait if your location has a Fait ECP ID configured. Select Other to enter orders manually.

  • If using Other: enter the Account field manually.

  • Complete the Prescription section — select a prior exam prescription or enter values manually for each eye.

  • Fill in the Shipping section to set the ship-to address and shipping method.

  • Add any Instructions or Internal Notes as needed.

5. Supplier Options: Vision Web, Fait, and Other

  • Vision Web (Glasses only) — Available when your organization has a Vision Web integration enabled. Orders are submitted electronically to the selected lab.

    • After placing the order, status updates flow back automatically from Vision Web.

    • Select Vision Web from the Ordering Service dropdown to use this option.

  • Fait (Contact Lenses only)

    • Contact lens orders are submitted electronically to Fait.

      • The order status trail updates in real time as Fait processes the order.

  • Other (Glasses or Contact Lenses) — Use this option for lab-direct orders, in-house orders, or any supplier not integrated with Barti. Barti does not submit these orders electronically — you place the order with your lab directly. Use the status dropdown on the order to manually track progress: Draft, Hold, Ordered, Received, Verified, Notified, Dispensed.

6. Save and Place an Order

  • Click Save Order to save a new order as a draft before filling in all details.

  • Once the order is complete, click Save Changes to save edits to a draft order.

  • For Vision Web and Fait orders, click Place Order to electronically submit the order to the supplier.

  • For Other/manual orders, use the status dropdown in the order header to update the order status manually.

7. Generate an Invoice from an Order

  • With the order open, click Invoice Options in the order header.

  • Select Create New Invoice to generate a new invoice pre-loaded with the order details. The invoice opens in a new tab.

  • Select Add to Existing Invoice to attach the order to an invoice that already exists for this patient. A selection dialog will appear to choose the invoice.

  • Once an invoice is linked, the button changes to View Invoice, which opens the invoice directly.

8. Update Order Status

  • For VisionWeb orders: status updates (shipped, received, etc.) flow back automatically from VisionWeb.

  • For Fait contact lens orders: status updates appear in the order status trail automatically.

  • For Other/manual orders: use the status dropdown in the order header to manually move the order through: DraftOrderedReceivedVerifiedNotifiedDispensed (or Issue if a problem arises).

  • To duplicate a glasses order (if enabled for your organization), open the order's options menu and select Duplicate. The duplicate opens in a new tab.

Frequently Asked Questions

Why is the Place Order button disabled on my contact order?

For Fait-based glasses orders, the Place Order button requires a valid Fait ECP ID configured on the order's location. See Adding Fait Account for setup information.

Why is the Place Order button disabled on my glasses ?

For VisionWeb based glasses orders, the Place Order button requires VisionWeb items being linked to your inventory. See VisionWeb Invoicing for setup information.

Can I generate an invoice for a contact lens trial order?

No. The Invoice Options button only becomes active for contact lens orders that contain at least one non-trial contact order with a product linked from the catalog.

Where do I set up Vision Web or Fait integrations?

Vision Web and Fait integrations are configured at the organization level.

Can I print an order before submitting it?

Yes. Click Print Order from the order header at any stage — draft, submitted, or completed.
