In this article, you will learn how to understand and interpret the viewing indicator that appears when multiple staff members have the same patient exam, invoice, claim, insurance payment open at the same time.These notifications allow you to confirm that others have saved their updates before you begin your own, preventing your changes from being overwritten.

1. Understanding the Viewing Indicator

When another staff member opens the same patient exam you are currently viewing, a viewing indicator automatically appears in the top bar of the exam.

  • The indicator displays the initials of each additional staff member currently viewing the exam.

  • If three or more other staff members are viewing, the indicator shows two avatars and a badge for the remaining viewers.

  • The indicator is hidden when you are the only person viewing the exam — it only appears when at least one other staff member has the same exam open.

2. Identifying Who Is Viewing

  • Hover over any avatar in the viewing indicator to see that staff member's full name in a tooltip (e.g., "Jane Smith is viewing").

  • Hover over the overflow badge to see the names of all additional viewers not shown as individual avatars.

3. Real-Time Updates

The viewing indicator updates automatically — no page refresh needed.

  • When a staff member opens the exam, their avatar appears within a few seconds.

  • When a staff member closes the exam or navigates to a different record, their avatar is removed automatically.

  • If a staff member loses their connection without closing the exam, their avatar is removed within approximately 60 seconds.

Frequently Asked Questions

Why don't I see the viewing indicator?
The indicator only appears when at least one other staff member has the same exam open. If you are the only person viewing the exam, no indicator is displayed. If the feature is not yet enabled for your organization, contact Barti support.

How do I get back to the exam dashboard now that there is no Back to Dashboard button ?

What if the same staff member has the exam open in two browser tabs?
Each browser tab counts as a separate session. Both will appear in the viewing indicator.

Does the indicator work if a staff member loses internet connection?
If a staff member's connection drops unexpectedly, their avatar will automatically disappear from the indicator approximately 60 seconds once their session expires.
