This article outlines the standardized process for manually merging patient records. The goal is to ensure that all relevant data is accurately retained and properly stored in the correct patient profile. Barti can help merge patients on your behalf.

Information to Merge

When merging patients manually, review and consolidate the following information from both records:

  • Demographics

  • Personal and Contact Information

    • Primary and/or secondary phone number(s)

    • Email address

  • Insurance(s)

  • Addresses

  • Notes

  • Appointments

  • Exams

  • Invoices

  • Claims

  • Optical Orders

  • Files

  • Letters

Manual Merge Procedure

Category

Additional Notes

Demographics, Contact Info, and Insurance

Verify and update demographic, contact, and insurance details in the correct patient record.

Exams

Save the exam as a PDF and upload it to the patient’s Files tab.

Invoices

Save the invoice as a PDF and upload it to the Files tab.

Record any balance due in the patient’s Notes section as a Warning note.

Claims

Save the claim form as a PDF and upload it to the Files tab.

Record any insurance claim remarks in the Notes section as a Warning note.

Optical Orders

Save the optical order as a PDF and upload it to the Files tab

Files

Download all patient files from the duplicate record and upload them to the correct patient profile.

Letters

Save each letter as a PDF and upload it to the Files tab.
