How do I set up services and inventory in Barti?

Add your practice's services and list pricing under Barti Billing, then add your inventory items separately. Both need to be set up before you can create invoices.

Who this is for: System Admin only

Before you start, you'll need:

  • Admin access

  • Your service list and pricing

  • Your inventory items and any associated costs

Add services

  1. Navigate to Billing → Services.

  2. Click New Service.

  3. Enter the service description and list price.

  4. Enter the appropriate CPT code and Billing Code

  5. Click Add Service.

Repeat for each service your practice offers.


Add inventory

  1. Navigate to Billing → Inventory.

  2. Click New Inventory Item.

  3. Select the item you wish to add: Glasses Frames, Contact Lenses, Lens Material, Lens Design, Lens Add-On, or Inventory Item.

  4. Enter the Product Name, Default Price, and HCPCS. Other product details will vary depending on inventory item added.

  5. Click Create button at bottom of window.


What you'll see when it works

Services and inventory items are available to select when creating an invoice or optical order.


Troubleshooting

Can I edit or delete a service or inventory item after saving it?

Yes! Follow Billing > Services/Inventory; then click the three dot menu to the far right hand side of the inventory item. Then click Edit or Edit Service.

My inventory item isn't appearing when I create an optical order — why?

Verify the Ordering Service. If using one of our integrations, like Vision Web (for glasses) or FAIT (for contact lenses) make sure you're using the correct product name from that service. Or switch the Ordering Service to 'Other' and make sure 'From Inventory' is selected in the Frame Supplier field.
