How do I use Quinn to transcribe clinical notes during an exam?

Quinn is Barti's AI exam scribe. Open a patient's exam, press the microphone icon next to Transcribe to start recording, and Quinn will transcribe the encounter and populate clinical fields in real time.

Who this is for: Providers and clinical staff on the Barti Copilot plan. Quinn must also be enabled for your organization — contact support@barti.com to request access.

Before you start, you'll need:

  • A Barti Copilot plan with Quinn enabled for your organization

  • A connected microphone with browser microphone access granted

Video walkthrough

Important Note: If you navigate away from the exam tab while Quinn is recording, the microphone will automatically stop. Return to the exam tab and press the microphone icon to restart the recording session.

What Quinn can fill out

Quinn automatically populates the following fields during an exam:

  • Chief Complaint

  • Manifest Refraction

  • IOP

  • Anterior Segment

  • Posterior Segment

  • Dilation

  • Confrontation Visual Fields

  • Assessment and Plan (via the Autocode button)

Steps

  1. Open a patient record and navigate to an Exam.

  2. Confirm your microphone is connected and that your browser has permission to access it.

  3. Press the microphone icon next to Transcribe to begin recording. Quinn will start listening immediately.

  4. Conduct the exam as you normally would — speak naturally. Quinn captures the conversation and structures it into the supported fields. As each field is updated, Quinn navigates to that section, highlights the change, and plays a chime.

  5. To trigger autocoding, say "Code for me" or "Autocode." Quinn will run the Autocode process and pull diagnosis codes into the Assessment and Plan section.

  6. When the encounter is complete, press the microphone icon again to stop recording.

  7. Review all populated fields and edit as needed before saving the exam.

Note: If you navigate away from the exam tab while Quinn is recording, the microphone stops automatically. Return to the exam tab and press the microphone icon to restart the session.

What you'll see when it works

As Quinn transcribes, it navigates to each relevant section of the exam, highlights the updated fields, and plays a chime to confirm updates. When you stop recording, all populated fields remain in the exam for your review.

Troubleshooting

Quinn isn't available in my exam — where is it?

Quinn is only available on the Barti Copilot plan and must be enabled for your organization. If you don't see the microphone icon next to Transcribe, contact support@barti.com to confirm your plan and request access.

Quinn isn't responding when I press the microphone icon.

Confirm your microphone is connected and that your browser has been granted microphone access. If the issue persists, refresh the page and try again. If it still doesn't respond, contact support.

Quinn stopped recording on its own.

Quinn's microphone stops automatically when the exam tab loses focus. This prevents accidental recording across multiple open tabs. Return to the exam tab and press the microphone icon to restart.

Will Quinn replace my manual note entry?

No. Quinn populates fields from the transcription, but you should always review and edit notes before saving. Quinn is a documentation aid, not a replacement for clinical judgment.
