How do I handle a retraction or reprocessed payment in Barti?

Post the original (incorrect) payment through mass payments first to keep it on record, then go to the invoice directly to post the retraction as a negative amount. When the corrected payment arrives, post it through mass payments as normal.

What is a retraction?

A retraction occurs when an insurance company takes back a previously paid amount — usually because a coding error was identified and the claim needs to be reprocessed. The payer reverses the original payment and issues a corrected one after the claim is reprocessed.


Steps

1. Post the original (incorrect) payment

Post the original payment through mass payments as normal, even if the amount is wrong. You need it on record before the retraction can be applied.

2. Post the retraction at the invoice level

Retractions cannot be processed from mass payments — they must be handled at the invoice level.

  1. Open the patient's invoice in Barti.

  2. Click Add Insurance Payment on the invoice directly.

  3. Enter a negative amount equal to the original payment (e.g., if the original payment was $85.00, enter −$85.00).

  4. Add an internal note: "Retraction posted [date]. Corrected claim submitted [date]. Awaiting reprocessed payment."

3. Wait for the corrected payment

When the corrected payment arrives from the payer, post it through mass payments as you would any standard payment.


What you'll see when it works

After posting the retraction, the invoice reflects a $0 insurance payment — as if the original payment was reversed. When the corrected payment is posted, the invoice updates to the correct final balance.


Troubleshooting

I can't find the retraction option in mass payments.

This is a known Barti limitation — retractions must be posted at the invoice level, not from mass payments. A feature request to enable retractions from mass payments is in progress.

The corrected payment amount is different from the original. How do I handle the difference?

Post the corrected payment as-is through mass payments. If there is a remaining balance after posting, determine whether it should be written off as contractual, transferred to the patient, or held pending a secondary. Add an internal note explaining the variance.
