How do I set up Text Automation in Barti?

Quick answer: Go to Org Settings → Communications → Text Automation to manage all of your practice's automated patient texts — appointment reminders, post-appointment messages, and missed-call replies — from one settings page, each with its own template and timing.

Who this is for

Org admins who manage how and when Barti sends automated text messages to patients. Text Automation settings are org-wide — changes apply to every location and provider in your practice.

Note: Text Automation is being rolled out gradually and may not be available to your practice yet. If you don't see it under Communications, your org hasn't been enabled.

Before you start

  • You need admin access to Organization Settings.

  • Texting must be enabled for your organization.

  • Decide which message templates you want each automation to use. Templates are created and edited in the Messaging Center.

Steps

1. Open Text Automation settings. Go to Org Settings → Communications → Text Automation.

2. Review the automation table. Each automation appears as a row with these columns: - Message Type — the kind of automated text (for example, Appointment Reminder). - When to Send — the timing rule for that automation. - Template — the message template Barti sends.

3. Turn an automation on or off. Use the toggle on each row to enable or disable that automation for your practice.

4. Configure an automation. Click the edit icon on a row to open its configuration modal, where you set the timing and choose the template. See the related articles below for each automation type.

What you'll see when it works

The Text Automation table lists your active automations. Available rows include: - Appointment Reminder - Post-Appointment - Additional Recall Reminders - Missed Call - Intake Form Link - Optical Order Notification

Enabled automations send their texts automatically based on the timing you set — no per-message action from staff is required.

Note: Recall Reminders, Intake Form Link, and Optical Order Notification appear here for consistency but keep their existing behavior and templates — they are managed as they were before.

Enabling the new Text Automation (one-time migration)

If your practice is still on the previous version, you'll see a banner at the top of your current Texting Automation settings:

"A new and improved version of texting automation is available." — with Learn More and Update options.

To switch over:

1. On the Texting Automation settings page, find the blue banner. Click Learn More to read what changes, then click Update.

2. Confirm the update when prompted. Updating to the new version cannot be undone.

What to expect after updating: - Upcoming messages are rebuilt to match your new Text Automation settings. Previously scheduled appointment reminders are canceled and re-created from your configured automations. - Updates may take up to one day to take full effect. - This action cannot be undone — once you update, your practice uses the new Text Automation settings going forward.

Troubleshooting

Why don't I see Text Automation under Communications? Text Automation is being rolled out in phases and may not be enabled for your org yet.

Can I go back to the old version after updating? No. Updating to the new Text Automation is permanent and cannot be undone.

Do these settings apply to one location or the whole practice? Text Automation settings are org-wide. Setting different cadences per location is not currently supported.

Why are my reminders taking a day to change? After updating or changing settings, it can take up to one day for queued messages to fully reflect your new configuration.
