Fax Reports to Your EHR

Send BrainCheck reports to the fax line that feeds your EHR, so they reach the patient's chart without downloading and re-uploading.

Fax to EHR sends a BrainCheck report to the fax line that feeds your EHR, so it reaches the patient's chart through the same inbound fax process you already use for outside records. There's no downloading and re-uploading, and no BrainCheck integration to set up.

Before you start

You'll need the fax number that feeds your EHR. This is the line your practice already uses to receive outside records into charts — an AthenaFax number, for example. A general office fax will receive the report fine, but it won't reach the chart unless someone scans it in by hand.

Delivery status confirms the fax was received, not that it reached the chart. If the number goes somewhere other than your EHR's inbound fax line, the report will still show as delivered. Worth confirming the destination with whoever manages your fax setup.

Fax to EHR is enabled per organization. Your fax destination has to be configured before the option appears. If you don't see it, contact your Customer Success Manager to get set up.

One fax number per BrainCheck account. If your practice has several locations under the same account, they all send to that same number.

How to fax a report

  1. Open the patient's order and find the report you want to send.

  2. Select Fax to EHR, next to the download option.

  3. BrainCheck sends the report and shows you its delivery status.

  4. You can fax any BrainCheck report — assessments, screeners, and care plans.

Delivery statuses

  • Queued — BrainCheck has accepted the report and is preparing to send it.

  • Dispatched — the report has been handed off to the fax service.

  • Delivered — the fax reached the destination number.

Faxing takes longer than an email. A report may sit in queued or dispatched for a few minutes before it shows as delivered, which is normal.

If a fax doesn't go through

If delivery fails, BrainCheck shows an error rather than letting you assume it sent. The most common causes are a busy or ringing-unanswered line at the destination, or a fax number that's no longer in service.

Try sending again — a busy line often clears on a second attempt.

If it keeps failing, the number on file may need updating. Contact us at support@braincheck.com or reach out through Intercom, and we can check the destination configured for your account.

In the meantime, you can still download the report and file it manually.

Good to know

  • Sending only. BrainCheck sends faxes but doesn't receive them, and doesn't place the document into the chart itself. Filing the report into the patient's record happens through your practice's normal inbound fax handling, the same as any other fax you receive.

  • Faxes are black and white. Fax machines don't reproduce color, so reports are formatted to stay readable without it. On the care plan combined summary, the section that normally appears highlighted in yellow will show as a grey block on the faxed copy. Nothing is missing — it's just the highlight rendering in greyscale.

  • You get a document image, not discrete values. A fax arrives as a scanned image of the report. If you'd like results posted into the chart as discrete, reportable values you can trend and search on, ask your Customer Success Manager about our EHR integration options.
