Managing Users and Groups

How to manage your team in Beyond Chat: invite users, assign roles and control access precisely with group permissions.

User and group management lets you control who can see and do what in your workspace: from the admin role to fine-grained group permissions for assistants, prompts, knowledge bases, connectors and anonymization.

Managing users

In User Management you see all users in the workspace and change their role (User or Administrator).

How to invite new team members:

  1. Enter the email address (separate multiple addresses with commas)

  2. Choose a role: User or Administrator

  3. Assign the user to one or more groups

  4. Click Invite

Important: Administrators have full access to Company Settings. Assign this role with care.

Creating and managing groups

Groups let you share resources selectively:

  • Create a group: Click New Group and give it a name

  • Edit a group: Use the three-dot menu to rename it, delete it or adjust its permissions

  • Share resources: Share prompts, knowledge bases or assistants only with specific teams

If a person belongs to several groups, the highest available permission automatically applies.

Group permissions: precise control over who can do what

Group permissions let you control a great deal in Beyond Chat. You find them under AdministrationGroupsGroup permissionsPermissions. For each group, you define:

  • Visibility: whether users can see assistants, prompts and knowledge bases in the overview

  • Editing: whether users may edit assistants, prompts or knowledge bases created by others. They can always create and edit their own assets. It pays to grant this right only selectively

  • Connectors: whether connectors are shown or not

  • Assistants only: users see only the assistants overview, without the option to create their own assistants. Ideal when a team should work only with prepared assistants

  • Disable anonymization in chat: members of the group may turn off anonymization themselves

Tip: Start restrictive and expand permissions as needed. This keeps the workspace tidy and keeps sensitive features under your control.
