How It Works

Once your Procore or Autodesk account is connected to Billy, the following happens automatically:

  1. A vendor submits a Prequalification Form in Billy.

  2. Your team reviews the submission and approves the vendor in Billy.

  3. Billy automatically creates a new vendor record in your connected Procore or Autodesk account using the information from the approved prequalification submission.

  4. The vendor is now available in both Billy and your project management platform β€” no re-entry required.

Connecting Billy to Procore or Autodesk

To enable this integration, your Procore or Autodesk account must be connected to Billy via Connected Apps. Here's how:

  1. Navigate to Settings in the left-hand menu.

  2. Under Team Settings, click Connected Apps.

  3. Select Procore or Autodesk Construction Cloud and follow the prompts to authenticate and connect your account.

  4. Once connected, the integration will be active for all future Prequalification Form approvals.

What happens if the vendor already exists in Procore or Autodesk?

At this time, Billy does not check for existing vendor records before creating a new one. If the vendor is already in your Procore or Autodesk directory, a duplicate record may be created. We recommend checking your existing vendor list before approving if you're unsure.

Does the vendor get created in Procore if the prequal is rejected?

No. A vendor is only created in Procore or Autodesk when their Prequalification Form is approved. Rejections, pending reviews, and saved drafts do not trigger the integration.

Can I use this integration with both Procore and Autodesk at the same time?

What if some fields are blank in the vendor's submission?

Billy will only map fields that were filled in by the vendor. Blank fields on the prequalification form will result in empty fields on the vendor record in Procore or Autodesk. You can update the vendor record manually in Procore or Autodesk after it's created if needed.

Will previously approved vendors be synced retroactively?

No. The integration only applies to Prequalification Forms approved after the connection is established. Previously approved vendors will need to be added to Procore or Autodesk manually.
