Sage Intacct Setup & Connection Guide

A step-by-step guide to connecting Billy to Sage Intacct: gathering the Sender ID and Web Services User credentials, entering them in Billy, and verifying your first sync of vendors, projects, and contracts.

This guide walks you through connecting Billy to Sage Intacct from start to finish. Once connected, Billy keeps vendors and compliance in sync with Sage Intacct, pulls in your projects, and writes contract compliance back to your purchase orders and subcontracts.

The connection is built and configured together with our integration partner, Calance, so you are not on your own at any step.

Before You Begin

It helps to have a few things ready. You will need administrator access to your Sage Intacct company, and you should decide which environment you are connecting first. Most customers start in an Implementation or Sandbox environment and move to Production once everything checks out.

REQUIREMENT

You must be subscribed to Sage Intacct Construction and Real Estate (CRE) with the Compliance module for this integration to work. If you are not sure whether your subscription includes these, check with your Sage Intacct account team before you begin.

The connection relies on two things working together:

  • A Sender ID (a Web Services developer license purchased from Sage), which identifies the integration to your company. The Sender ID works across all of your environments.

  • A Web Services User, which is the account the integration uses to read and write your data. This one is specific to each environment, so you create a separate Web Services User in Implementation and again in Production.

Step 1: Get Your Sender ID from Sage

The Sender ID is a Web Services developer license that you purchase from Sage Intacct. It is specific to your company and can be reused across every environment.

Once purchased, Sage sends you the Sender ID along with an email where you set the password. Set that password and keep a copy in a safe place.

IMPORTANT

The Sender Password can only be reset by Sage Intacct going forward, so store it somewhere you will not lose it.

Next step: Once you have your Sender ID, schedule a time with Calance to walk through the rest of the connection together.

Step 2: Authorize the Sender ID in Sage Intacct

Next, tell Sage Intacct to trust the Sender ID:

  1. In Sage Intacct, go to Company > Setup > Company > Security.

  2. Find the Web Services authorizations section.

  3. Add your Sender ID to the list so the integration is authorized to connect.

Step 3: Create the Web Services User

The Web Services User is the dedicated account the integration signs in with. It is created per environment, so you will repeat this step when you move to Production.

When you create the user, grant it access to the data the integration needs: vendors, projects, contracts, and the related dimensions. Limiting it to just what is required keeps the connection secure. When the user is created, Sage sends a password to the email on the account, which is shared securely with Calance to complete the connection.

You will also share your Company ID so the integration knows which Sage Intacct company to connect to.

Step 4: Connect Billy to Sage Intacct

With the Sender ID authorized and the Web Services User created, the credentials are entered to establish the connection between Billy and Sage Intacct. Billy stores these credentials securely and uses them to authenticate every sync.

Your Sender Password and Web Services User password are never shown back to you or to your customers once saved. They are used only to make the connection.

Step 5: Verify Your First Sync

After the connection is live, confirm everything is flowing the way you expect:

  • Vendors: Vendor records sync between Billy and Sage Intacct.

  • Projects: Your Sage Intacct projects appear in Billy.

  • Contracts: Purchase orders and subcontracts are available for compliance tracking.

  • Compliance: Global compliance and contract compliance status are written back to the matching Sage Intacct records.
