New to Billy? Welcome! Here are the FAQs to get you started with Billy, including:

Read Only Permissions: What you can and cannot do in Billy.

✅ View contracts’ (vendors’) compliance status on projects.

❌ Change contacts >>> Reach out to an Admin/Standard user on your account to process changes.

❌ Copy request link >>> Reach out to an Admin/Standard user on your account to send vendors this link.

✅ Upload document to Billy.

Here’s how: Click Contract (Vendor) > Documents tab > Drag and drop the file or upload at the bottom of the page.

❌ Override a non-compliant vendor >>> If you have a Managed Plan account, use the in-app chat to provide the Billy team with your override request.

✅ View Documents.

Here’s how: Click Contract (Vendor) > Coverages tab > Arrow to the right of the requirement > View

Why is a Contract (Vendor) Non-Compliant?

Click on any contract (vendor). The coverages tab for a contract shows the status of each requirement.

No document has been submitted or reviewed for this requirement.

Compliant, approved requirement.

Either the requirement is expired or has been rejected. Click the dropdown arrow button on the right to view the Notes sent to the vendor.

The requirement has been marked by one of your Admin/Standard users as not required.


What do Billy’s emails look like and how often are they sent?

Any time a Billy email is sent (initial request, rejection, expiration), Billy automatically sends 3 reminder emails once a week until a document is uploaded. See what these emails look like here.


Non-Responsive Filter

Within each project, the non-responsive filter provides a shortlist of the contracts (vendors) that have not responded to Billy's automated emails (see above for how often automated emails work). After Billy's automated emails have ended, contract land in this non-responsive filter, telling you the ball is in your court to reach out to the vendor to confirm the email on file (recommended first step). This is also an opportunity to nudge them to respond to emails from Billy and inform vendors of your process with Billy.

IMPORTANT: Only visibility into these non-responsive is provided. Once the email on file has been confirmed or whenever you want to re-trigger requests (and automated reminders) to non-responsive contracts, you will need an Admin or Standard user to do this for you.
