Workspace roles and team

Written by Arman Vardanyan

A Binee workspace is shared by a team. Manage members in Settings, then Team.

Roles

  • Owner: the person the workspace belongs to. Can do everything, including transferring ownership.

  • Admin: can manage billing, invite members, remove members, change member roles, edit workspace settings, manage workspace-level integrations, build and transfer Binee automations for members, see which tools each member has connected (names and health only), see and transfer the teammate automations leadership built and team automations on the Automations page (a member's personal self-built automations stay private to them; status and health only, never findings), and create dashboards.

  • Member: uses Binee fully (chat, insights, their own integrations, their own settings) but does not manage the team or billing.

Everyone connects their own tool accounts and has their own insight feed, automations, memory, and notification settings regardless of role. For insights the whole team sees, any member (or an admin) can create team automations that post to a shared Slack channel, for example a sales channel that gets every payment update; see the Automations and your Inbox page.

Owners and admins can additionally build automations for other members, for example setting up "warn me when a task delay breaks a date we promised a client by email" for a colleague who will not build it themselves. An automation built for someone runs only after that person approves it on their Automations page (or immediately, when they chose Always approve for automations from their admins), runs on their own connected tools, and reports only to them; the builder sees the automation's status, never its findings. To make building possible, owners and admins can see which tools each member has connected and whether each connection is healthy, as names and status only, never any content. Details are on the Automations and your Inbox page.

Being in more than one workspace

One account can belong to several workspaces: your own, plus any you were invited to. Open the account menu at the top right of the app (your photo, with the workspace name beside it on larger screens) to see your workspaces and switch between them. Owners and admins also get an invite teammates shortcut there. Pick a workspace and Binee reloads into it, with that workspace's chat, automations, insights, and role. Each workspace stays fully separate: your connected tools, automations, and insight feed in one workspace are never visible from another. Example: a consultant runs their own workspace and is invited as an admin into a client's, switches over to build the client's team their Binee automations, then switches back, without the two ever mixing.

Inviting people

Owners and admins invite by email from the Team page, choosing the admin or member role. The invitee gets an email; the Team page shows honestly whether the invite email actually went out, and pending invites show a Pending badge in the member list. An owner or admin can revoke a pending invite from its row on the Team page, for example after a typo in the address: the invite link stops working immediately and the corrected email can be invited right away. Invitations also expire on their own after 7 days.

Changing roles and transferring ownership

  • The owner can change anyone's role, and can transfer ownership to another member (the previous owner becomes an admin).

  • Admins can change members' roles but not other admins or the owner.

  • Nobody can change their own role, demote the owner, or remove the owner.

Removing someone

Owners and admins can remove a member. Removal takes effect immediately: the person loses access to the workspace. Their historical data (messages, usage records) is kept for the workspace's records. A removed person can be re-invited later.

Deleting a workspace

Only the owner can delete a workspace, from Settings, then Workspace, in the Danger Zone. You type the workspace name to confirm. Deletion is permanent: all workspace data, members, and integrations are removed, and connected tools are disconnected on their side as part of the teardown. If anything goes wrong, the page says so honestly instead of pretending the delete succeeded.

A workspace with a paid plan attached cannot be deleted, including when the plan is scheduled to cancel but has not reached its end date. Cancel your plan first from Settings, then Billing, or contact support to move it. This prevents a live subscription from pointing at a deleted workspace and protects the plan's credits.

Plans and credits are shared

The workspace's plan and credit balance are shared across all members. Owners and admins can see per-member usage in Settings, then Billing & Usage.
