Charitable Donation Letters are a useful tool if you’re looking to provide your sponsors, donors, and other applicable registrants with a document specifying how much of their purchase is tax-deductible. You may also use it to share your organization’s EIN number, tax ID, or any other information your donor(s) may need for filing, reporting, and record purposes.

To navigate to the Charitable Donation Letter feature, first click on the Registration dropdown in your Event Management Dashboard. Select the Donations tab, and scroll down to the Charitable Donation Letter section. You will see the toggle to allow donors to download the letter, an option to download a sample, and a textbox to view the template and make edits.

Configuring / Editing the Charitable Donation Letter Template

The charitable donation letter template should be customized by you, the Event Manager, in the Registration dropdown under Donations. After scrolling down to the template, anything in CAPITAL LETTERS needs to be filled in by you in the template textbox (this includes your ORGANIZATION NAME, ORGANIZATION ADDRESS, and ORGANIZATION EIN).

Anything in [[DoubleBrackets]] will be auto-filled by the system for each registrant, and does not need to be entered/changed by you in the template.

If you download a sample, it will be generic, as there is no registrant information to pull from.

Setting Up Tax-Deductible / Eligible Registration Items

You, as the Event Manager, will need to tell the system which items should be eligible for a Charitable Donation Letter, and how much of the purchase amount is considered a tax-deductible donation, so your sponsors and donors have the exact figures.

To toggle registration items (which includes your sponsorship packages) that are eligible for the charitable letter, you need to go into the Registration Items tab and click to edit specific items with the pencil icon.

Click on Advanced Options within the edit window for an item, and toggle on Charitable Donation. It will ask you how much of that item should be considered tax deductible. That's where the template will pull from for those [[DoubleBracket]] fields.

If you have items where no amount is considered tax-deductible, or you see no need for the purchaser to have access to a tax/donation letter, you can leave the Charitable Donation toggled off. All registrants will still have access to their auto-generated invoice, which serves as an itemized receipt.
