The following article is for properties such as: 

  • Hotels 

  • Rental apartments, villas..

  • Residential condo

As a property, you are hosting residents and you might want to restrict ordering to "Residents Only". Here is how.

How to  

Here are some steps you need to follow to properly setup your Blackbell. 

1 - Choose your Business Type accurately 

Path: E-Commerce > Settings > Platform Setup > Business type 

Select what best applies to you: 

  • Hotel / Student Accommodation: If you have "rooms" or "apartments", all located in a single building 

  • Vacation rental apartments /  Rental apartments: if you manage properties like apartments or villas, all located across a city

  • Residential Condo: If you manage a residential building with long term residents (unknown departure date)

2 - List your properties

Path: E-Commerce > Manage > Setup > Content > Setup > Listing of locations

List your properties. Your residents will have to select where they stay when placing an order

3 - Automatically / Manually import residents' stays 


Case of Hotels / Rental Apartments 

  • If Blackbell has an existing interface with your PMS (Protel / Opera), you can import your guests' stays automatically to Blackbell - Please get in touch with Blackbell to order the interface

  • If not, we recommend you don't create any stay manually. You will be prompted to approve guests' stays upon guest order (see section "User Experience" below)

Case of Residential Condo

  • If you are a Residential Condo, you must manually create residents' stays in your back-office. You must then communicate to your residents a "token" (ie. an access code) that will be mandatory to place an order. Non residents won't be able to place order. 

Once a stay is created, a token is generated. This is the code you must hand over to your resident. 

4 - Restrict ordering to Residents Only... 

  • ... as a default for all of your services 

Under E-Commerce > Manage > Setup > Default Settings, tick "Only guests with a valid stay / reservation can order services"

All of your future services will require a stay. Of course, you can unselect on a case to case basis. 

  • ... as a limitation to a particular service

User Experience

For services that require a valid stay, residents will have to enter their stay details at checkout. 

Case of Hotels / Rental Apartments
Guests can manually enter their stay details and select their stay location

Case of Residential Condo
Residents must have a token to place an order

How to approve an order when a guest manually enters a stay at checkout? 

When you receive an order from a guest who manually entered a stay, the order will say "Reservation to validate". 

You'll have to manually approve the stay and edit its status before processing the order.

If the stay looks invalid, simply click on "Decline". 

Once the stay is approved, the order opens and is properly associated to the resident.
