The moment you add products & services to your platform, you will start receiving orders from customers on your admin interface. 

Your admin interface lets you very clearly manage orders.

1 - How to manage an incoming order 

  • All new orders sit in your "Inbox" and have a "Pending" status

  • Start by marking your order as processing or start chatting with customer (this will auto change order status to processing)

  • Add an action label if needed: Only visible by your team 

  • Add an internal note if needed: Only visible by your team 

  • Chat with customer if you need additional information 

  • Check payment method is correct - Change if needed

  • Click on confirm or decline

2 - How to manage an order with a subscription 

When you receive an order, you will clearly see if there is a linked plan to it and that customer will be charged on a recurring basis. 

Process the order as described above. 

The moment you confirm such order , it creates a "Subscription".
All subscriptions can be found under "Subscriptions" (Orders > Subscriptions)

You can filter by: 

  • Active: All live subscriptions

  • Scheduled in future: The subscription has not started yet

  • Past due: This means payment failed

  • Inactive: This groups both cancelled and stopped subscriptions

From the subscription page, you can change the associated plan (let's say a customer upgrades to a more premium plan) or cancel the subscription.
You can also track all payments collected to date.

3 - How to manage an order that includes a "by-quote" service

Blackbell lets you set up "by quote" products / services. For these, customers can customize their orders: selected options... Upon reception of the order, you can send a precise quote that they can validate from their app.  

Here is how to send a quote

  • Click on "send price proposal"

  • Enter price

  • Send price  

The order will now be under Orders > Processing > Waiting Reply with label "waiting reply"

Here is what happens for your customer: 

  • Customer receives an email notifying him about the price proposal. He is invited to log in to his app to approve or reject the proposal.

  • By logging in to his app, customer can approve or reject the price proposal from the "Chat" section of the order

Once proposal is approved (or rejected), you'll receive an email so you can confirm (or decline) the order. 

  • Order will appear under "Inbox" with 1 message unread. You'll read if quote has been approved or declined in the chat section. 

  • If approved, price is updated, and you can confirm or decline the order as normal

  • If payment method is "online, upon confirmation of order, the price approved by customer will be automatically charged 

If needed, you can manually cancel quote and send a new one

Note

We let you process a " by quote" order without sending quote digitally. (as explained above). However, this is not recommended as it won't be clear to customer and the order won't be added to your analytics.
