Add Deal Financing to a Unit Deal

Learn how to set up deal financing on a Customer Order, manage the approval workflow, receive payments, and check out a financed deal in Blackpurl.

Deal Financing in Blackpurl lets you attach a finance provider to a Customer Order's Unit Deal, track the financing status from quotation through to funded, and receive payments from both the customer and the finance company. This article covers the full setup, workflow, and accounting considerations for financed unit deals.

Before You Start

Before adding financing to a Unit Deal, your Finance Providers must be configured in Blackpurl. Finance Providers only need to be set up once and are then available across all Customer Orders. See Vendor Products and Services for instructions.

Finance Commission Settings

Blackpurl gives dealerships the option to include the financing commission earned from the finance company as part of the expected payment to be receipted against the Customer Order. You can enable this feature in System Settings > Settings & Controls - Shop Settings.

When this setting is enabled, the full amount funded by the finance company — including both the finance amount and the commission — must be receipted in Blackpurl against the relevant Customer Order. Make sure to record the commission amount in the Dealership Commission field in the Deal Financing section.

When Only Some Finance Companies Include Commission in Their Payment

If some finance companies pay the dealership commission separately rather than including it with the funded amount, you can disable the commission-included setting on a per-vendor basis. Navigate to the relevant Vendor Record, click Edit, and review the Commissions not included in finance payments option.

When this option is enabled for a vendor, the dealership can still record the commission amount in the Deal Financing section. When the Customer Order is closed out, the commission will integrate to accounting under the Finance Commission Income control account — but the offset will go to the Finance Commission Clearing account instead. The dealership then allocates the separately received commission payment to the Finance Commission Clearing GL in their accounting package. The commission is not receipted against the Customer Order.

Accounting Integration — Control Accounts

Dealerships using Blackpurl's accounting integration have two control accounts available under System Settings > Accounting Integration - Control Accounts for financing commissions.

How to Add Financing to a Unit Deal

Set up the Customer Order's Unit Deal first — add the unit, options, and pricing before attaching financing. Once the deal is ready, click Add deal financing in the Deal actions section.

A new Deal Financing section will be generated automatically. Select the relevant Finance Provider in the Deal Financing > Summary section.

Review the fields that were automatically populated from the Unit Deal, then complete any remaining required fields.

In the F&I products section, add any Finance and Insurance (F&I) products and verify all figures. For details on setting up F&I products, see Set Up and Add Finance Products to a Unit Deal.

The Financing actions section contains additional actions including Submit financing, Add a Co-Buyer, and Accept a down payment. The actions available in this section change depending on the current status of the Deal Financing and what information is still required — for example, Add Finance Company will appear if no finance provider has been selected yet.

Financing Status Workflow

Deal Financing moves through four statuses: Quotation, Submitted, Approved, and Funded. Each status unlocks the next set of available actions.

Step 1: Submit the Financing Application

Once you have submitted the customer's application to the finance company, click Submit financing in the Financing actions section. The Deal Financing status will change to Submitted. The finance figure shown on the Unit Deal and Deal Financing section should match the amount requested in the finance application submitted to the finance company.

Step 2: Record Approval

Once the status is Submitted, a new action becomes available. When you receive approval from the finance company, click Approval received. The Deal Financing status will update to Approved.

Note that financing cannot be set to Approved unless the Unit Deal itself has already been set to Approved. Once a deal reaches Approved status, restrictions are placed on the deal merchandise and service to prevent deal values from being inadvertently changed:

  • Line items cannot be added, deleted, or moved

  • Line item quantities cannot be changed

  • Deal status cannot be set to Approved when there are unresolved fulfillments

  • Deal status cannot be moved away from Approved if the Deal Financing status is Approved or Funded

Step 3: Record the Funding Payment

Once the Deal Financing status is Approved, the Record funding payment action becomes available in the Financing actions section.

All funding received from the finance company must be receipted in Blackpurl using the Record funding payment button in the Deal Financing section. Do not use the Deposit section directly — the Finance Company payment method will be greyed out there.

Click Record funding payment to open the deposit window. The payment details will be pre-populated. You can backdate the payment date if needed. Confirm the deposit to complete the receipt.

Once the payment is confirmed, the Deal Financing status will update to Funded.

The Documents section in Deal Financing allows you to attach any relevant documentation such as finance agreements or approval letters.

How to Receive the Down Payment from the Customer

The down payment amount must be recorded in the correct field within the Deal Financing > Summary section before accepting the payment.

When the customer pays their down payment, click Accept down payment in the Financing actions section. The Add Deposit window will open — select the payment method and click CONFIRM DEPOSIT.

The down payment will then appear in the Deposit section of the Customer Order.

Checkout

Checkout is only available when the Deal Financing status is Funded and the Unit Deal status is Approved. If either condition is not met, a notification message will appear at checkout.

When you are ready to check out:

1. Click CHECKOUT.

2. Click the Unused Deposits button to apply the finance funding from the Deposit section to the order.

3. If the customer also paid a down payment, click Unused Deposits again to apply that deposit as well.

4. Finalise the invoice as normal.

Accounting Integration Tips

When finance funds are received into the dealership's bank account, allocate those funds in your accounting package to the General Ledger (GL) account attached to the Finance payment method. In most configurations this will be the Undeposited Funds GL.

Buy Rate vs Sell Rate

Blackpurl supports recording both a buy rate and a sell rate for each finance provider. The buy rate commission represents the minimum rate the finance company will accept. The dealership can mark this up by an agreed amount — this marked-up rate is the sell rate, and it is the rate Blackpurl uses to calculate the customer's amount financed.

In the Deal Financing summary, both interest rates are displayed. The buy rate commission field is optional. The buy rate commission is calculated as the difference in total loan interest between the two rates. The dealership can override the calculated buy rate commission amount — Blackpurl will only recalculate it when the buy rate or estimated loan payment amount changes. This commission is included in the deal's profitability.

Deal Commissions on Reports

Unit deal-related reports can display two types of commission for each deal when the user has the Deal commissions permission enabled:

  • Sales commission — commission paid to salespeople

  • Finance commission — commission earned by the dealership for financing the deal

These commissions are available as optional columns on the following reports:

  • Active Unit Deals report

  • Invoice Summary report

  • Invoice Detail report

Both commission types are also included in the deal profitability on the Customer Order itself.

Editable Costs on F&I Products

When working with line items in the F&I products section of a deal that have a cost associated with them, users can edit the cost on those line items. The Unit Costs permission must be enabled for this functionality to be available. Any changes to these costs are reflected in the deal profitability on the Customer Order.

F&I Products from Other Finance Companies

Users can select F&I products from vendors other than the primary finance company on a deal. When a product from a different vendor appears in the F&I products section, it is clearly indicated as being from another finance company vendor.

Products with a cost method of Price withheld or Cost withheld are an exception — because they are specific to their vendor, they cannot be added to a deal being financed by a different finance company.

Finance Products — Cost Methods

Two cost methods are available on Finance products to provide a more accurate calculation of the amount payable by the finance company: Price withheld and Cost withheld.

Finance companies do not always reimburse the dealership for the full amount financed on a deal. The price of some products is not reimbursed at all, while for others the finance company withholds the cost of the product from their payment. When calculating the expected payment from the finance company, Blackpurl deducts either the price or the cost of any withheld products from the amount financed.

  • Price withheld — the finance company does not reimburse the selling price of the product. A loan registration fee is a common example.

  • Cost withheld — the finance company withholds the dealer cost of the product from their payment. This is commonly used when the finance company supplies a product to the dealership for resale.

Products with either withheld cost method can only be added to deals financed by the same finance company that supplies that product.

Finance Company Payments on Customer Orders

Because Blackpurl can now accurately calculate the actual payment expected from the finance company — accounting for withheld F&I product prices or costs and any financing commissions included in the payment — the amount received from the finance company is no longer a user-entered value. The payment method remains available in order to record the receipt, but the amount is auto-populated and restricted to the known payable amount.

Financed Deal Accounting Entries

The cost of goods sold (COGS) journal entry for a financed deal invoice accounts for any prices or costs withheld by the finance company, and for any financing commission income recorded on the deal financing.

When financing commissions are included in the finance company's payment, the commission income is posted directly to the Finance Commission Income control account.

When financing commissions are not included in the finance company's payment, the COGS journal entry uses the Finance Commission Clearing control account instead.


Note: If a GL account has not been assigned to either the Finance Commission Income or Finance Commission Clearing control accounts, commission income entries will not be included in the journal entry.

Financed Deal Documents

Three documents can be generated for a financed deal: the Bill of Sale, the Offer to Purchase, and the Invoice. On all three documents:

  • The payment listing includes only customer-related payments — finance company payments are excluded.

  • The Amount Paid total reflects only the actual amount paid by the customer.

  • The Due from Financing figure does not reflect commissions earned or product prices and costs that are withheld, as those are not amounts received from the customer.

The "Funded" Status

The Deal Financing section moves through four statuses in sequence: Quotation, Submitted, Approved, and Funded. The Funded status is set automatically when the finance company payment is accepted against the deal. Checkout cannot proceed until this status is reached and the Unit Deal status is also Approved.
