This article explains how to manually edit a Part Record in Blackpurl. You may need to do this to update pricing, configure auto reordering, mark a part as packaged, lock fields against price file imports, or add an Environmental Fee or Tire Levy.
When to Amend a Part Record
There are several reasons a dealership may need to manually update a Part Record, including:
Changing MSRP, cost price, or retail price
Setting up auto reorder thresholds
Converting a part to a packaged part
Locking MSRP, retail price, or description fields so price file imports don't overwrite them
Adding an Environmental Fee or Tire Levy to a part
Opening the Edit Merchandise Window
For any amendment to a Part Record, start by navigating to the relevant Part Record and opening the edit screen.
1. Navigate to the relevant Part Record screen and click EDIT.
2. The Edit Merchandise window opens.
3. Scroll down to the field you want to change. The examples below show the most common amendments.
Example One: Change Prices (MSRP, Retail, etc.)
To update pricing such as MSRP or retail price, scroll to the Per Item Pricing section in the Edit Merchandise window and update the relevant field. For example, to change the MSRP from zero to $15.00, enter the new value in the MSRP field. The same approach applies to Retail and other pricing fields.
Example Two: Auto Reordering
To enable auto reordering on a Part Record, scroll to the Ordering Information section in the Edit Merchandise window and set your minimum and maximum quantity values.
When available stock drops to the minimum quantity, Blackpurl will automatically add the part as required stock on the next Vendor Order you place for that part's vendor, up to the maximum quantity value.
Example Three: Change a Part to a Packaged Part
To mark a part as a packaged part, scroll to the Ordering Information section in the Edit Merchandise window. Check the Packaged Part? checkbox. Additional fields will appear for you to complete.
Example Four: Lock Fields Against Price File Imports
You can lock the MSRP, retail price, and description fields on a Part Record so that importing a new price file does not overwrite values you have manually set. This is useful when you want to keep your own pricing or descriptions rather than reverting to what the vendor specifies in their price file.
Each lockable field displays a padlock icon:
A green unlocked padlock next to a field means the field is unlocked and will be updated when the vendor price file is imported.
A red locked padlock next to a field means the field is locked and will not be updated when the vendor price file is imported.
To lock or unlock a field, open the Edit Merchandise screen, scroll to the relevant field, and click the padlock icon to toggle its state.
Example Five: Add an Environmental Fee or Tire Levy
You can attach an Environmental Fee or Tire Levy to a Part Record so that every time the part is added to a Customer Order, the fee is automatically charged as well.
Before you begin, make sure the fee you want to use has already been created. See How to Create / Add a New Fee and How to edit an existing Fee (no longer available) for instructions, or use an existing fee already set up in your Blackpurl.
1. Navigate to the relevant Part Record and click EDIT.
2. In the Edit Merchandise screen, scroll down to the Environment Fee field in the Per Item Pricing section.
3. Enter the fee amount in the dollar field.
4. A second field will appear — select the Environmental Fee Code you want to apply.
The next time this Part Record is added to a Customer Order, the Environmental Fee will be included automatically.
Saving Your Changes
After making any changes to a Part Record, click Save to finalise the update.
Who Modified the Part Record
Each Part Record tracks who last modified it and when. You can find this information in the Vital Statistics section at the bottom of the Part Record screen.
