AR Credit Payment Method

Use accounts receivable credits from your accounting package as payment in Blackpurl.

Accounts Receivable (AR) Credit is a payment method in Blackpurl that lets you apply a credit balance from a customer's record in your accounting package directly to a Customer Order as a deposit or at checkout. This option is only available if you have Accounting Integration enabled and the customer has an unapplied credit in Xero or QuickBooks Online.

How AR Credits Appear in Your Accounting Package

An AR Credit represents a balance your dealership owes a customer — it appears as an unapplied, negative-value transaction on the customer's account in your accounting package. For example, if John Murphy has a $120 credit sitting unapplied in QuickBooks Online, that credit is available to apply toward an open Customer Order in Blackpurl.

How to Use AR Credit in Blackpurl

There are two places you can apply an AR Credit to a Customer Order: as a deposit before checkout, or as a payment method during checkout.

Option One: Use as a Deposit

To apply an AR Credit as a deposit on an open Customer Order:

1. Navigate to the relevant Customer Order in Blackpurl.

2. Click Add Deposit.

3. Select AR Credit as the Payment Method.

Option Two: Use at Checkout

To apply an AR Credit during checkout on an open Customer Order:

1. Navigate to the relevant Customer Order in Blackpurl.

2. Click Checkout.

When you select AR Credit as the Payment Method — in either Deposit or Checkout — Blackpurl checks your accounting package for any unapplied credits on that customer's record.

  • If no unapplied credits exist, Blackpurl displays the message: No unapplied credits returned, please select a different payment method.

  • If unapplied credits are available, Blackpurl prompts you to select which AR Credit you want to use from a dropdown list.

Open the dropdown, select the credit you want to apply — for example, INV - $20.00 or another available credit — then click ADD PAYMENT to confirm.

As soon as the AR Credit is applied, Blackpurl sends a transaction to your accounting package to record that the credit has been used. The customer's transaction list in your accounting package will update to reflect the applied credit.

How to See If AR Credits Have Been Used

There are two places in Blackpurl where you can check whether AR Credits have been used as a payment method.

Cash Reconciliation

The Cash Reconciliation report shows a breakdown of payments by method, including any AR Credits applied during the period.

Customer Payment Report

AR Credits also appear as a Payment Type in the Customer Payment Report. For more detail, see Reporting - Customer Payments (How to Process the End of Day Balancing of Cash Drawers) (no longer available).

Other Important Information

  • The AR Credit selected cannot exceed the balance owing on the Customer Order. If the selected credit is greater than the amount due, Blackpurl displays an error: Payment amount should not be greater than the balance owing.

  • Once an AR Credit has been applied to a Customer Order, it cannot be refunded or reversed off that order. If a refund is needed, the dealership must process it using a different method, such as a store credit or another Payment Method.
