How to onboard your company

This article describes the different steps that have to be completed in order to digitally onboard your business, your UBOs and legal representatives on our platform. When starting your onboarding journey, please ensure that you have the following information at hand:

  1. Chamber of commerce number

  2. Legal Entity Identifier - LEI code (if applicable)

  3. Your business's incorporation date

  4. VAT number

  5. Company organigram (for complex structures)

  6. ID card

  7. Mobile/desktop with a camera

As a first step, you need to create your personal account where we will store all your company and personal information. Since this is sensitive data you will be asked to configure your account with Multi-Factor Authentication. Each time you login, you need to enter your personal password and an SMS code OR authenticator code. Since you have a personalised environment it also means that you can always stop the process and log back in whenever you feel like continuing. You will be able to continue where you left off. So, please complete the following details:

Note, as you can see you can choose the language in which you would like to continue. Currently, our platform supports the following languages:

  • Dutch

  • French

  • English

  • German (in process)

After you have filled in all of the fields, please click on "Sign Up". You will now receive a welcome email that contains the link that you can use to always go back to your session. In addition, you will receive a second email which will contain your temporary password. Please fill in the temporary password and setup a new one right after:

You will now receive a verification code on the phone number you have indicated on your registration. Please enter this code in the below screen:

Welcome! Your account is now setup. Please click on "Dismiss" to continue the process:

From the personal dashboard you can change your profile settings (like password and change your MFA settings) and see the status of your application, which is divided into several logical sub-sections that the system will guide you through:

1. In case you want to view your profile, change your password, or change your MFA settings from SMS to an Authenticator app then you can do this by hovering on your name and clicking on "User settings". You will then enter into the following screen:

Please follow the steps as indicated in the screen to change your MFA from SMS to an Authenticator app, should you wish to do this (not necessary)

2. The onboarding process is divided into several sub-sections:

  • Your business

  • Legal Structure

  • Additional information

  • Signing

Note, the "Additional information" section could be turned off, which means that you would not see this section in your screen. This is based on the discretion of the entity at which you are onboarding yourselves. 

To continue, please click on "Edit" in the "Your Business" sub-section. Within this section, you will be asked some basic information about the legal entity you wish to onboard. Currently, our system has automated connections with several external databases which will automate the process. 

More concretely, for Dutch business registrations we have a connection with the Dutch Chamber of Commerce (i.e. Kamer van Koophandel). If you fill in the name, or business number of your legal entity then we will automatically fetch all the data for you. Similarly for Belgium, the platform has a build in connection with the Kruispuntdatabanken (KBO) to automate the process.

Note: The KBO API does not allow to search by business name, you need to enter your business number and click on the search icon next to it.

Finally, our platform also has a connection with the GLEIF register (Global Legal Entity Identifier Foundation) which completes additional information, like the "legal activities" of your organisation.

For example, if we search on "Blanco Services" in the Dutch Chamber of Commerce, then the system will automatically populate all fields as shown below:

For the Belgian Chamber of Commerce it could be that not all information is present and that some information needs to be manually added. At all times, you could still overwrite the information which has been pulled from the databases in case this would be incorrect. Do note that the organisation at which you are onboarding yourselves will get a notification about this and might contact you for additional information about the changes you made.

After clicking on "Next" you will be asked about the address details of your organisation. Also these will be pre-populated in case the external database (i.e. KvK, KBO, or GLEIF) has this information:

Please click on "Next" to fill in some additional details about your legal entity. Some fields will be pre-filled, please ensure that all fields are filled and click on "Next":

Finally, in certain cases the entity at which you are onboarding yourself might ask you specific questions related to their activity. In the below example, you would be asked to identify whether you are a "U.S. Person" as the entity at which you are onboarding yourself needs to know this for, for example, FATCA regulation:

Great job! You have now completed the first section of your onboarding.

Let's continue the journey, please click on "Start" in the "Legal structure" sub-section. 

We now try to assess the complexity of the legal structure of your business. First off, we would like to know whether your legal entity has one, or more, parent companies or subsidiaries.

In case the answer to this question is "YES", then please indicate this and click on "

". Since this would be a "complex" structure you will now be asked to upload an organisational chart of your entity.

The entity at which you are onboarding yourself will now receive the organisational chart and will setup everything on your behalf in the back-office administration tool. Once completed you will be notified about this.

In case the answer to the questions whether your company has any parent companies is "NO", then please indicate this and click on "Next". In the following screen, please indicate how many UBOs (Ultimate Beneficial Owners) and legal representatives your company has:

For the remainder we will assume that the legal structure only holds one legal representative and/or UBO, so I have selected "NO". In case there would be multiple, then you would repeat the next steps for each UBO/Legal representative, since each one needs to be identified. Please click on "Next".

Please specify the details of the UBO/Legal representative. As mentioned, in case there would be multiple, then you would specify this for each one. Note that we could have the following scenarios:

  • Person is an UBO and a Legal Representative

  • Person is an UBO but not a Legal Representative

  • Person is not an UBO but is a Legal Representative

Please make sure that the phone number and email address are correct as the person will receive an invitation either via SMS or via mail to identify himself. 

As you can see below, I have added my UBO/Legal Representative(s). Please click on "Edit" to go back into the details of your UBO/Legal Representative:

Please check the details again and click on "Next". You can now invite the person, to remotely identify himself/herself, by sending an SMS or an email to him/her. In the below case I have opted for an SMS:

Please click on the link to start the remote identification process. You will need to go through the following simple steps:

Step 1: Agree with the terms & conditions and consent to the storage of your data in accordance with the privacy statement
Step 2: Select whether you would like to use a passport, ID card, or driving license. In this case I opted for the identification card
Step 3: Click on "Take a photo of the front side" of your ID card. Please allow your camera to be accessed
Step 4: Either re-take the picture or click on "proceed"
Step 5: Do the same for the back-side of the ID card
Step 6: Either re-take the picture or click on "proceed"
Step 7: Take a selfie and confirm if the photo was taken correctly (my selfie is not shown :))
Step 8: Click on next
Step 9: Please review the data and click on "Confirm and save"
Step 10: Your data has now been sent to the organisation at which you are trying to onboard yourself. The system will perform several checks on the validity of the ID card and will check whether the selfie corresponds to the picture which is on your ID card. If there are no issues, then you can now return to the onboarding environment and continue the process (you might need to refresh the screen). In case the system identified some issues then the system owner will receive a notification and has to review your application before you can continue.

In my case the organisation got a warning and had to review and accept my identification before I could continue. After they accepted my identification I can now continue the process. As you can see below, all pictures have been uploaded and the data has been scraped from the ID card, although not all fields will be pre-populated automatically:

After completing all fields, please click on "Next" and fill in the address details of the UBO/Legal Representative:

Please complete the additional details and click on "Next":

Again, in this setting the company where you are onboarding yourself would like to know whether the UBO/Legal Representative is a US Person. As mentioned above, this depends on the situation so it might be that you will not see this question, or perhaps another question:

Great stuff! You have now completed the second section of your onboarding journey, we are almost done.

In certain cases companies could request some additional information concerning your business. These additional questions are setup in a separate section and depending on the organisation you will either see this or not. If so, please click on "Start" as indicated below:

Please complete the questions and click on proceed. You should now see green boxes at every sub-section as shown below:

The company at which you are onboarding yourself will now review your application. They will confirm the data that you have entered, check all UBOs and Legal Representatives against international sanction list, PEP lists and more. If all goes well, they will draft the contracts and will send you an invitation to digitally sign the contracts after which the process is fully completed and you are now a customer!
