Signing requests in Onboarding

How to start a signing request within the onboarding module

Once the registration of a prospect is completed and they are ready to be converted to a client, you will likely have a moment of signing with your future client. This article is aimed at explaining how the signing module in in our onboarding works, and how you can make use of this.

The signing request can be found on the bottom of the registration page:

By clicking "Add Contract" you are able to add a contract to the signing request:

In the "Name"-field a name can be given to the uploaded document. By clicking "Browse" a document from your device can be uploaded:

Signing ✍️

After adding contracts to the signing request, a few other things will have to be configure before you can start the signing request. Below we will further elaborate on all configurable options within the signing request.

  • Signers: Add/remove signers. For an individual or joint product, the standard would be the clients themselves. For a child or legal entity it would be their legal representative.

    • Authentication method: Choose how you would like the client to sign; itsme, iDEAL, iDIN, Scribble & SMS. It is possible to select multiple methods. Do keep in mind that when you select multiple methods, the client will also have to sign using all selected methods.

  • Co-signers: Add/remove co-signers. Here you can choose who will sign the contract on behalf of your organisation.

  • Tenants contracts: Standard contracts that are always signed. If this is not set in your settings, no contracts will be shown.

  • Email language: Select which language you would like the e-mail for the signature request to be sent in.

  • Start Signing: Press this to get started πŸ˜‰ .

❗ Be aware that there is only one signing moment in the Onboarding. After this, the prospect can be converted into a client. If desired, additional signing requests can be initiated in the Client File.

Status

It is important to keep in mind that a signing request expires in 15 days. It is thus key for all signers and co-signers to sign the document within these 15 days. If the signing request has expired and one or more parties have not signed yet, a new request will have to be started, even if some of the signers have already signed this document.

Once the signing request has started, the status of the request can be seen by returning to the signing request.

When clicking the arrow button next to the signer, the below view will unfold where you can see the actions performed by this signer:

Actions:

There are four statuses that are shown in the "Actions" view:

  • No actions (yet)

  • Opened

  • Document opened

  • Signed

Reminder

If the client(s) and/or the co-signer(s) have not signed yet it is possible to send a reminder to all parties. You can do so by clicking "Send Reminder":

Before the reminder is sent, you are able to choose which language the reminder e-mail is sent in:
