Introduction
Scheduling a list helps to ensure important tasks are done when you want them.
Lists will always be visible on the mobile feed 8 hours before its start time, but can only be started at its start time by the positions assigned to it.
*** Important *** Scheduling a list can take up to 10 minutes to show up on the mobile application, so if you don't see it right away after scheduling, don't worry!
When the due time is up, the list disappears from the feed, and the status is marked as "missed." You can allow late submissions, we'll cover that too in this article.
To schedule a list, jump to the SETTINGS TAB in the list builder. With this system you can;
Create multiple schedules and assignments on one template
Set up "Daily Lists" that run overnight
Set up Custom schedulers with the intuitive new interface
Make changes to the schedule that are effective immediately
Pause active schedules if needed
View next launch date to ensure accuracy
Easily understand the schedule from the template table view
Delete lists launched incorrectly by accident
Prevent re-firing of old One-off's with new "disabled" status
Watch how it works
Locations
First, select which groups or locations should see this list on their feeds. You can assign by group, or by individual location. If you select a group, it will automatically pre-select all locations in that group, so you do not need to select locations.
Assignees
Next, list any and all positions that should see this list on the store feed. Include the position that is responsible for completing this list, as well as any manager positions that would oversee this list execution.
Different Schedule Types:
One-Off
One-off's only happen once. You will select a start DATE & TIME, and an end DATE & TIME. Please note about One-Offs - edits cannot be made to the schedule once the list passes it's due time.
Every Day
Daily means seven days a week, every day. Here, you simply select the start and end times.
Every Week
Weekly allows one list to span multiple days and repeat every week. For example, you could have a Manager Walktrhough that needs to be done weekly, but the manager have all week to do it. You would set your start and end times and the list would be available over the whole week without being marked late.
Monthly
Monthly is similar to weekly, it allows one list to span multiple days and repeat every month. For example, you may have a compliance Audit that needs to be done monthly, but the manager has weeks to do it. You would set your start and end times and the list would be available over the whole time without being marked late.
Custom
Custom is for the off-schedule cadence of a list. You want a list that is Monday, Wednesday, & Friday for example but repeats every week.
Allow Late Submissions
When the due date/time is reached, whether the list was performed or not, the system will auto submit it. This means it will:
1. ) disappear off the site's feed,
2.) Users will not be able to recall it to perform it late
3.) if un-performed, the list will be marked as "missed"
For example, if a restaurant uses this feature on a line-check before their peak meal service, the importance of the list is to ensure guest readiness for the busiest time of service. So, the line checklist must be completed before that peak period. If it is not done, and auto submit is turned on, the users in the restaurant miss their moment to ensure they're ready for service. Completing the list later doesn't really help the guest experience anymore.
In the Scheduler, if "Allow Late Submissions" is toggled on, the builder has the option to allow the list to remain on the store feed until a specific amount of time past the due time. The list will be marked as late, but it gives the team extra time to complete it.
List Scoring
If you notice that your audits change to different colors, this is due to the overall score. These colors are great indicators of how well your audits are being performed or completed:
Score of 79% or higher: GREEN
Score is between 70% - 80%: YELLOW
Score is below 70% or critical tasks failed: RED
