With Rules, you can set up an instant alert to notify someone that a specific task was answered a certain way. For example, if a food item is out of the proper temperature range, the manager gets notified by SMS when the line checklist is submitted so that they can take action immediately.
Creating Task Rules
Task rules can be set up in the task sidebar within the template builder. Alerts can be set up for Yes/No answer types, multiple choice, range scale, temperature, and number.
Click " + add an alert " to set up a new rule trigger. A pop-up will appear and from here, you can select how you want to send the notification; by phone, email, or by position. Tap save to capture the rule trigger.
Template Rules
You can also view and edit any previously made rules for a template and/or create a new rule from the Rules tab within the template builder.
When creating a new rule from this table view, you'll be prompted to create a task-level rule, or a template-level rule.
A task-level rule works like " + add an alert " function within the task sidebar; this is just a different way to create a rule trigger. Simply select the task, define the answer that will trigger the notification, and designate who and how it is delivered.
Creating Template Rules
A template level rule allows you to send a notification if the template was:
Status: If it was missed, late, completed, or if it was pencil-whipped; meaning a user performed it too fast to be accurate.
Total Score: Select a condition and then a value to which the score should relate to.
Overdue: If the list is overdue by a certain amount of time.
When you select 'Send a Notification, you can then choose how you would like to receive the notification. Fill in the fields to match your desired criteria. Save your work!
You can also 'Assign a Template' as well! This will activate the user to start a new template if any of your rules are triggered. You can choose the template, the user, and the due date. Always save your work!
Rule Notification Email
Below is an example of what the email alert looks like when a rule has been triggered. From the email, you can click to see the completed report to understand more details of the checklist or audit.
